Backyard Party Layout Plan: Tables, Bar, Food and Games
A backyard party layout with a tent, dining tables, bar, buffet, grill, games and kids zone, plus spacing, flow and a Chicago-area weather plan.

A backyard party works best when guests move without thinking about it. Most Chicago-area yards are small, with a house at one end, a fence along the sides and a patio in between. The trick is to use each part of the yard for what it does well, and to put the busiest items (bar, food, grill) where they will not jam the door.
A backyard plan
Plan the four zones
- 1Step 1ArrivalA gate or side path to a table with drinks and a place for gifts.
- 2Step 2EatingA tent or patio with tables and a buffet within 20 feet.
- 3Step 3DrinkingA bar on the patio or a self-serve cart, with a cooler of ice.
- 4Step 4PlayA lawn area for games, with a clear 20 x 30 foot space.
Put the grill and any fire feature downwind of the tent and at a safe distance (check the manufacturer's instructions and your local rules). Keep walkways wide enough for a stroller or wheelchair; see ADA accessible event seating.
How many tables and chairs?
| Guests | Tent | Tables | Chairs |
|---|---|---|---|
| 20 to 30 | 10x20 or 10x30 | 3 rounds or 4 banquets | 30 to 35 |
| 40 to 50 | 20x30 or 20x40 | 5 to 6 rounds | 50 to 55 |
| 60 to 80 | 30x40 | 8 rounds | 80 to 90 |
| 80 to 100 | 30x60 | 10 rounds | 100 to 110 |
These are starting points; confirm them with the tent company and see how many chairs do I need. Seat only half of your guests if the party is a mix of standing and eating, which is common for graduation parties and picnics.
Food and drink placement
Keep food on a different path from the bar. A buffet along a fence or the side of the tent leaves the center open. Put one cooler or beverage dispenser at each end of the yard to cut lines. See how many beverage dispensers do I need and buffet line flow. Remember trash and recycling: two stations at the edge of the yard.
Rain, shade and wind in Chicago
A Chicago summer yard faces sun, humidity and fast-moving storms. Put seating under shade or a tent. Have a rain plan, either a tent with sidewalls or access to the garage or house. Wind can topple umbrellas and light decor, so anchor everything. See outdoor event chairs and Chicago weather and rain plan with a tent. In spring and fall, add heaters.
Walk the yard before you buy anything
Stand in the yard and pace it. A normal stride is about 2.5 feet, so 24 paces is roughly 60 feet. Mark the corners of the tent, the bar and the buffet with stakes or flags and see how the space feels. Check where the sun sits in the afternoon, where water pools after rain and which windows overlook the party. Locate the outdoor outlets and the hose bibs. Look at the route from the kitchen to the buffet, and the route from the gate to the restroom. A yard that looks big can shrink once a 20x30 tent and a grill go in, and a yard that looks small may have a surprisingly good corner for a bar.
Take photos and measure again. Send the dimensions to every vendor, including the tent and rental companies, so that quotes match the real yard.
Check before you plan
Call your village about tent and noise rules, check your HOA and tell the neighbors. Also locate utilities if you need stakes (JULIE in Illinois; see JULIE utility locate). A walkthrough with a tape measure saves hours on party day.

Lighting and music
Backyard parties often run into the evening, and dusk arrives as early as 4:30 pm in December and after 8 pm in June. Plan string lights over the dining area, a few path lights and a speaker placed away from the neighbors. See backyard party lighting ideas and string light layouts.
Chairs that fit a yard
A rattan garden chair fits a casual look and sits well on a patio. Garden folding chairs are the easiest choice for a large party on the lawn.
