Graduation Ceremony Chair Rental: How Many Chairs for a Commencement on the Field
Planning a high school or college commencement on a football field in the Chicago area? Here's how to count chairs for graduates, faculty and guests, lay out the rows, protect the turf and plan the rain move.

Commencement is one of the biggest single seating jobs a school runs all year. Hundreds or thousands of chairs go onto a field in one morning, stay out in the sun or wind for an afternoon, and come off again before the field is needed. The ceremony only works if the count is right and the rows are set the way the graduates will walk.

How to count every chair
Count each group separately. The total is the sum, plus a small buffer for a few late changes.
| Group | How to count | Notes |
|---|---|---|
| Graduates | Final graduate list | Lock this number with the registrar or counselors |
| Faculty and staff | Everyone who processes | Often a row facing the graduates |
| Platform party | Speakers, board, administrators | Usually on the stage itself |
| Guests on the field | Tickets per graduate × graduates | Subtract guests seated in the bleachers |
| Accessible seating | Guests who need it, plus companions | Keep it on level, firm ground near an entrance |
| Performers | Band, choir, color guard | Only if they sit during the ceremony |
| Buffer | A few extra chairs | For last-minute changes on the day |
Many schools limit guest tickets per graduate, and some seat all guests in the stands. The ticket policy is what really sets the guest number, so confirm it before you request a quote. The rental order calculator helps you total each group.
How to lay out the field
- Stage at one end of the field, facing the home stands so guests in the bleachers can see.
- Faculty row in front of the stage, facing the graduates or the stage.
- Graduates in the center, in rows set to match the order names are read, with a center aisle for the procession.
- Guest chairs on both sides of the graduates, with clear aisles to the exits.
- Accessible seating on level, firm ground close to an entrance, with companion chairs beside each spot.
Leave wide cross aisles. Graduates need to move row by row to the stage and back without climbing over anyone, and guests need clear paths for an emergency.
Protecting the turf and the track
Most Chicago-area high school fields are artificial turf with a running track around them. Before you order, ask your athletic director:
- Can chairs sit directly on the turf? Some schools allow it, others ask for floor protection under the stage or in high-traffic areas.
- How will delivery trucks reach the field? Many tracks can't take a loaded truck, so chairs often come in on carts through a gate.
- When is the field free? Spring sports, practices and the stage build all compete for the same day or two.
On natural grass, ask about soft ground after rain. Our guide to chairs on grass, sand and gravel covers how to keep rows level.
Which chair to use
For a field of graduates and guests, the right chair is light, quick to set in straight rows and easy to clean after a dusty or damp day.
- Folding chairs for the graduates and guests. White resin folding chairs are the most common commencement chair because they set fast and clean easily. See the chair rentals catalog for options.
- Teak garden folding for a private school or college that wants a warmer look in photos.
- Cross-back or another statement chair for the stage and platform party, where every photo is taken.
The rain plan
Most schools move commencement to the gym or fieldhouse if the weather turns. That changes the count, since indoor capacity is smaller and guest tickets are often cut. Decide three things before you order:
- Who makes the weather call, and by what time
- Whether the field chairs move indoors or the gym uses its own seating
- What the rental company needs to know if the set changes on the day
The outdoor event weather plan is a good template for writing this down.
