Booking a Banquet Hall in Chicago: What to Look For
How to compare banquet halls in Chicago and the suburbs: capacity, minimums, what is included, outside rentals, parking, timing and the contract terms.

Banquet halls are the workhorses of Chicago events. Weddings, quinceañeras, South Asian receptions, baptisms, anniversaries and company parties all fill them, from the city's Northwest and Southwest Sides to suburbs like Schaumburg, Oak Brook, Orland Park and Naperville. Most halls look similar on a tour. The differences are in the contract.

The questions that separate one hall from another
| Question | What a good answer looks like |
|---|---|
| What is the seated capacity with a dance floor? | A number for your layout, not just the fire-code maximum. |
| What is the food and beverage minimum? | A clear figure for your date, before tax and service charge. |
| What does the package include? | Tables, chairs, linens, napkins, place settings, dance floor and staff, by count. |
| Can I bring outside rentals and decor? | Yes, with clear delivery and pickup windows. |
| Is there a service charge, and is it a tip? | A stated percentage and what it covers. |
| What are the setup and end times? | Access hours for vendors and a firm end time with overtime rates. |
| Is there more than one event in the building? | Separate entrances or timing if two parties share the hall. |
| Where do guests park? | Lot size, valet or street, and accessible spaces. |
| What are the rules on candles, confetti and decor? | A written list. |
| What happens if I cancel or change the guest count? | Deposit schedule, count deadline and refund terms. |
Capacity: the number that matters
A hall's advertised capacity is often the maximum for a standing or theater layout. A seated dinner with a dance floor, a head table, a DJ and a buffet holds far fewer. Ask the hall to show you a floor plan for your exact guest count. A common planning rule of thumb is 10 to 12 square feet per guest for a seated dinner on round tables, before you add a dance floor, buffet and stage. Our venue types compared guide and the event planner help you sanity-check the plan.
What is included, and what you will still rent
Most Chicago banquet halls include standard banquet chairs, round tables, basic linens and place settings in their per-person package. What you typically add is the look: upgraded chairs like the gold Infinity or Louis Medallion styles, chair covers or sashes, linens in your colors, chargers, a sweetheart stage, lighting, a backdrop and lounge furniture. Our banquet hall room transformation plan shows how to layer those changes.
Before you rent, confirm whether the hall allows outside chairs and linens, whether its staff will set them, and whether there is a fee to remove and store the hall's own chairs. Our guide to venue chairs vs rented chairs explains the trade-offs.

Timing, parking and the building
- Back-to-back events. Popular halls host two or three events on a Saturday. Ask when your vendors can get in and when your rentals must be out.
- Loading. Confirm where trucks unload and whether there is an elevator if the ballroom is upstairs.
- Parking. Large halls usually have lots; city halls may rely on street parking or valet. See our guest parking and transit plan.
- Dates. Banquet halls are busiest on Saturdays from May to October and in December. Check the Chicago event planning calendar before you pick a date.
