How Far Ahead to Book Each Rental: Lead Times by Item
Lead times for tents, specialty chairs, dance floors, linens, bounce houses, heaters and restroom trailers, plus the Chicago weekends that fill first.

Not everything on your list has the same clock. A folding chair is easy to find. A 40 by 80 tent on a June Saturday in the suburbs is not. This guide sorts each item by how early to call, and explains why some are harder than others. It adds to our timelines for chair rentals and linens.
We do not have a magic number, and no rental company publishes one for every date. What we can tell you is what makes an item hard to get: how many exist, how often people want them on the same day, and how much work is needed before delivery.
Why lead times differ
Lead times by item
These are rules of thumb for a peak Saturday. Off-peak dates and weekdays are easier, and big or unusual orders take longer.
| Item | Rule of thumb for peak dates | Why |
|---|---|---|
| Tents | As soon as the date and site are set; many hosts book months ahead | Limited sizes, site walk, stakes or weights, permit check |
| Restroom trailers | Early; same time as the tent | Few units, need water, power and a flat spot |
| Dance floors | A few months for large sizes | Sized to the room, installed by a crew |
| Specialty chairs | 3 to 6 months for a large count | Smaller inventory than basic chairs |
| Heaters (fall) | Weeks to a couple of months | Everyone wants them on the first cold weekend |
| Linens in a set color | 2 to 3 months for large counts | Colors run out; see the linen timeline |
| Bounce houses | 1 to 2 months | Fewer units on peak weekends |
| Basic chairs and tables | 4 to 8 weeks | Larger stock, but still tight at peak |
Item by item
Tents. A tent is not a drop-and-go item. The company has to look at the ground, the space around it, stakes or weights, power and sometimes a permit. Ask early, and read the Chicago tent permit guide. For sizes, see the tent size guides.
Restroom trailers. These need a flat spot, access for a truck, and often water and power. Our restroom trailer guide covers when you need one. Book it with your tent, not after.
Dance floors. The floor is sized to your guest count and the room. Check dance floor size by guest count so your request is clear. Larger floors need a crew and a clear loading path.
Specialty chairs. Velvet, gold, rattan and throne styles come in smaller quantities than folding chairs. If you want 150 of a specific style, ask early. You can see our chairs and our chair rentals.
Heaters. From October through the first cold snaps, heaters sell out. We cover how many you need in patio heaters per guest. Ask what fuel is included.
Linens. A specific color in a large count, like 20 round tablecloths, can run out. Order napkins at the same time so they match.
Bounce houses. Needs a flat space, power and an anchor plan. Read bounce house safety and space. Book early for graduation season and summer weekends.
Peak Chicago weekends
These dates tend to be busy. They are not a promise, just a pattern.
- Graduation weekends in late spring and early June.
- Memorial Day, July 4th and Labor Day weekends.
- Wedding season Saturdays from late spring through early fall. Fall weekends are popular because of the colors.
- The last Sunday in June around the Chicago Pride Parade, when downtown and the north side are busy.
- December Fridays and Saturdays for holiday parties, with Chicago's early sunsets around 4:20 to 4:30 pm.
- New Year's Eve and the week of Thanksgiving, when rental company hours and delivery times change.
Holiday weeks also change schedules. A company may close on the holiday, shift deliveries a day earlier, or charge a late or early fee. See late-night and early pickup fees.
What most hosts find out too late
- Rental companies don't hold dates without a deposit. A verbal "yes" does not reserve it. Check how deposits work.
- You can often add items later but not always. Extra chairs after your RSVPs are likely fine. A second tent or more of a specific color may not be. Order the hard-to-find items first and fill in the rest.
- The date is not the same as the delivery day. A Saturday event might mean a Friday delivery and a Monday pickup, and that day can matter for booking.

What to do if you are late
Call anyway and ask what is available. Be flexible on the style or the color. Ask about a Friday or Sunday date, or a different delivery time. How to save money on event rentals has ideas on flexibility. For the last-minute items, a Chicago winter planning guide helps with the cold-weather list.
