Late-Night Coffee Bar Ideas for Weddings and Parties
How to run a late-night coffee bar: timing, urn counts, syrups, desserts, cups to rent and a layout that keeps the line moving after the dance floor.

A late-night coffee bar is the last act of the evening: guests rest from the dance floor, warm up before a Chicago winter drive and grab something to take with them. It is also less expensive than a full dessert bar and needs little staff. These are planning rules of thumb; confirm counts with your caterer.
When to open and how much
| Guests | Cups to plan (about half) | Urn | Tea and cocoa |
|---|---|---|---|
| 50 | 25 | 30-cup urn or 2 airpots | 1 hot water airpot |
| 100 | 50 | 50-cup urn | 1 hot water urn |
| 150 | 75 | 100-cup urn | 1 hot water urn |
| 200 | 100 | 100-cup urn plus airpots | 2 hot water airpots |
Add some decaf. Late at night, many guests prefer it. The general coffee counts in coffee and tea service rental apply here too, adjusted down because fewer people drink coffee after dinner and dessert.
Menu: keep it small
- Coffee, regular and decaf
- Hot tea: black, herbal and decaf.
- Hot chocolate or cocoa, see hot cocoa bar for winter.
- Milks and creamers: whole, oat and almond, plus sugar and sweetener.
- Syrups: vanilla, caramel and hazelnut.
- A treat: mini donuts, cookies, pretzels or pizza slices for salty snacks.
A signature touch, such as a spiked coffee, is possible but needs bartenders and licensing; see Illinois alcohol rules for private events. Many couples keep the late-night bar non-alcoholic for the drive home.
What to rent
- A 6-foot table and a floor-length cloth. Use our tablecloth size chart.
- Coffee urns or airpots, with an outlet or an extension cord that is rated for them.
- Cups, sleeves, lids and stir sticks. Paper cups with lids suit walking out the door.
- Cream and sugar sets, syrup bottles, napkins and small plates.
- A tray or tiered stand for snacks.
- A menu sign and a trash bin.
- Chairs if your coffee bar doubles as a lounge. A few velvet dining chairs make a cozy corner.
Layout and flow
Place the station away from the dance floor speakers so people can talk, and near the exit so it becomes the send-off. Keep the line moving by putting cups at the start and snacks at the end, with trash at the exit. Allow 4 feet in front for the line. If your room is a ballroom or hall, ask the venue where the outlets are. For more layout thinking, read bar placement in your floor plan.
- 1Step 1Pick the open time30 to 45 minutes before the end.
- 2Step 2Count cupsat half your guests, plus 20 percent.
- 3Step 3Order urns and a hot water source
- 4Step 4Add snacksand syrups.
- 5Step 5Announce itwith a sign or a DJ mention.
Staffing and cleanup
A late-night bar needs one person at most. A caterer's server, a venue attendant or a trusted friend can refill the urn, wipe the table and replace cups. Agree on who will do it before the day, since the original bar staff may already be packing up. Plan cleanup: coffee urns are hot and heavy, so ask whether the rental company wants them emptied and cooled or collected as they are, and where used grounds and liquids can go. Many venues do not allow pouring coffee into a bathroom sink, so ask.
Winter and cold-weather notes
A Chicago winter wedding is the best use of a coffee bar: guests face a cold walk to a car or the L, and a warm cup makes the exit pleasant. Place a coat check or a warm lobby near the station. Add to your plan with ideas from winter wedding seating. For summer evenings, add an iced coffee option with ice and cold brew from a dispenser.
