Coffee is the one beverage that guests complain about when it runs out. It is also the easiest to under-order, because "cup" does not mean what you think. Here is how to size an urn, how many you need by crowd, and how to keep it hot through a long Chicago winter event.

What a "cup" means on an urn

Commercial urns measure in 5-ounce cups. A 30-cup urn holds 150 ounces, and a 100-cup urn holds 500 ounces. A standard disposable cup is 8 to 12 ounces, so the number printed on the urn overstates what you can pour.

Urn size versus real 8-ounce cups Horizontal bar chart comparing the labeled cup count of urns to the number of real 8 ounce cups they pour: a 30 cup urn pours about 19, a 60 cup urn about 37, and a 100 cup urn about 62. 30-cup urn60-cup urn100-cup urn 19 mugs37 mugs62 mugs Urn cups are 5 oz; a mug is 8 oz
Divide the labeled cup count by 1.6 to get real 8-ounce servings.

How much coffee per guest

  • Morning event, meeting or brunch: about 2 cups of 8 ounces per guest.
  • After-dinner coffee at a wedding: about 1 cup per guest, since many guests skip it.
  • Evening party with a bar: about 0.5 to 1 cup per guest.
  • Cold-weather outdoor event: raise any of these by 25 percent as a rule of thumb.

These are common planning numbers, not a law. A young crowd drinks less, a corporate breakfast drinks more, and decaf may be 10 to 20 percent of total demand.

Chart: urns by guest count

Guests Morning (2 cups each) Evening (1 cup each) Suggested urns
25 50 cups 25 cups One 30-cup
50 100 cups 50 cups One 60-cup or 100-cup
100 200 cups 100 cups Two 100-cup (morning), one 100-cup (evening)
150 300 cups 150 cups Three or two 100-cup
200 400 cups 200 cups Four or two 100-cup

Remember to convert: a 100-cup urn is about 62 real mugs. The chart above uses mug counts, so divide the total by 62 to find the number of 100-cup urns. Round up and keep one urn for decaf at larger events.

Brewing time and timing

An urn takes about 1 minute per labeled cup to brew, so a 100-cup urn takes roughly 45 to 60 minutes. Start brewing before the event, not at the moment dessert is served.

Power and placement

A 100-cup urn typically draws more power than a standard household outlet comfortably allows with other equipment, so give it its own circuit if you can. Ask the venue which outlets are on which breaker before the day, and see our guide to lighting and power. Never run an urn on a long extension cord across a walkway.

Set it on a sturdy 6-foot table with a drip mat, away from the buffet. Add cups, lids, stirrers, sugar, a creamer on ice and a trash bin. Hot beverage carriers or an insulated server can be used for tables, and small carafes help at plated dinners.

The coffee station checklist

  • Urn, with the power cord and spigot checked
  • Cups and lids, 1.5 per guest for the coffee portion
  • Stirrers, sugar and sweeteners
  • Creamer or milk, on ice or in a cooler
  • A decaf option, labeled clearly
  • Tea bags and a hot water carafe for tea drinkers
  • A drip tray and cloth, and a small trash bin

Chicago winter notes

In a cold tent, coffee cools in the cup fast. Use insulated cups, or serve smaller portions more often. For a tent party, put the urn near the kitchen entrance, away from the cold. See our heating guides for tents for winter events.

Frequently asked questions

How much coffee do I need per person?

About 2 cups of 8 ounces for a morning event and about 1 cup for an evening event. Add a quarter more if it is cold outside.

How many people does a 100-cup coffee urn serve?

About 60 guests for one 8-ounce mug each, or about 30 guests for two mugs. The 100 count assumes 5-ounce cups.

How long does it take to brew a 100-cup urn?

About 45 to 60 minutes. Start before guests arrive and keep a second batch ready if you expect heavy demand.

How long does coffee stay hot in an urn?

An urn in warm mode holds coffee hot for a few hours, but flavor fades after about 2 hours. Brew in batches for long events.

How much decaf should I offer?

About 10 to 20 percent of total coffee at most events. Label it clearly and keep it in a separate urn or carafe.

Can an urn go outside?

Yes, with a weatherproof outlet or a generator, a wind shield and a covered table. Check your venue for rules on cords and fuel.
