Event Rental Order Minimums and Delivery Minimums Explained

Why rental companies set order and delivery minimums, how small orders can meet them, and when picking up the items yourself makes more sense.

You need 20 chairs and two tables for a backyard birthday. The company says the order is too small to deliver. This is common, and it is not personal. Small orders cost as much to deliver as big ones, and Chicago traffic, parking and alleys make each stop slow.

Two kinds of minimum

Two thresholds on a rental order A horizontal bar for order size from small to large. Below the first mark the order is too small to book. Between the first and second mark the order can be booked but delivery is extra or not offered. Above the second mark delivery is offered at the standard rate. Too small Pickup or fee Delivery Order minimum Delivery minimum Small order Large order
Each company draws these lines in different places. Ask where yours are.
  • Order minimum. The least the company will book at all. It covers staff time to pull, check and invoice the order.
  • Delivery minimum. The least that qualifies for delivery. Below it you may pay a higher delivery rate, or you pick up.

Some companies have only one. Some count only the item subtotal, and some count the full total. Ask which.

Why the minimums exist

Every order has fixed work: pulling items from the warehouse, checking them, loading a truck, driving, unloading, collecting, then washing and restocking. That work does not shrink much for a small order. The minimum protects the company from losing money on a stop. It is the same reason a Chicago restaurant sets a delivery minimum on an app.

How to meet a minimum without wasting money

  1. 1Step 1Add items you were going to need anywayLinens, napkins, a drink tub, a cake table or extra chairs for late guests.
  2. 2Step 2Check what countsSome minimums use the item total only, others include fees.
  3. 3Step 3Combine with a neighbor or family memberTwo households on the same block can share one delivery if the company allows it.
  4. 4Step 4Pick one delivery dateTwo small drop-offs are worse than one larger one.
  5. 5Step 5Ask about pickupIf the order is small, pick it up yourself and skip the delivery line.

Do not pad the order with things you will not use. An item you do not need still costs money and still takes space in your yard. See event rental hidden fees to find what you can cut instead.

When picking up yourself makes sense

Situation Pickup tends to work Delivery tends to work
Order size Under about one vehicle load 100+ chairs plus tables
Items Chairs, folding tables, linens Glassware, heaters, tents
Your vehicle Van, SUV or truck with space Sedan
Your time Flexible on pickup day and return day Busy event day
Venue Easy parking, no stairs Stairs, dock, alley

For the longer comparison, read full service vs will-call. The short version is that pickup saves the delivery fee, but you take on loading, carrying, counting and the return trip.

What most hosts find out too late

Minimums can be lower for pickup than delivery. Some companies will book a small order for pickup that they would not deliver. Ask for both numbers.

Minimums can move on busy dates. On a holiday weekend or a spring Saturday, a company may be less willing to send a truck for a small order. If your date is a peak one, ask early.

The minimum may apply per delivery, not per order. If you split a party across two addresses or two days, each stop may need to meet it.

Questions to ask the company

  • What is the order minimum, and what counts toward it?
  • What is the delivery minimum, and is there a smaller-order delivery rate?
  • Is there a pickup option for small orders?
  • Do minimums change on weekends or holidays?
  • Are tent, heater and large-item orders handled differently?

Frequently asked questions

What is an order minimum for event rentals?

It is the smallest rental total a company will book. It exists because every order needs the same pulling, loading and checking work. Ask what it is before you build a list.

What is the difference between an order minimum and a delivery minimum?

An order minimum is the smallest order they will book at all. A delivery minimum is the smallest order that qualifies for delivery or the standard delivery rate. Some companies have both, some only one.

Can I rent just a few chairs and tables?

Often yes, usually as a pickup order or with a delivery fee that is high compared to the items. Combining your list into one order or choosing pickup makes small orders cheaper.

Do delivery minimums include tax and fees?

It depends on the company. Some use the item subtotal only. Ask which total counts so you do not add items you do not need.

Is it cheaper to pick up my own rentals?

It can be, because you skip the delivery and pickup lines. You then pay in time and carry the risk of damage and counting. For items like glass or a heater, delivery is often worth it.

Can I share a delivery with a neighbor?

Sometimes. If two orders go to the same address or the same block on the same day, ask the company whether they count as one stop.
