Event Rental Hidden Fees: A Checklist of Every Extra Charge
Every line that can show up on an event rental bill beyond the item price, from stairs and holidays to fuel and re-delivery, with a question to ask for each.

You find chairs at one price and a tablecloth at another, add them up, and the number looks fine. Then the quote comes back higher. Nothing sneaky happened. Rental companies price the work around the items, and that work shows up as separate lines. In the Chicago area it adds up fast: alley garages, third-floor walk-ups, street parking and winter weather all change the work.
This post is the whole list in one place. Each line links to a longer guide where we have one.
The lines that can sit behind the item price
The checklist, line by line
| Line | What it covers | Ask this |
|---|---|---|
| Delivery and pickup | The truck trip, by distance or zone | Is pickup a separate charge from delivery? |
| Stairs or long carry | Crew carrying past the curb, up steps or down a long gangway | What counts as a long carry, and is it by flight or by item? |
| Elevator or dock | Waiting for a freight elevator or dock slot | Who pays if the slot is late? |
| Setup | Placing tables and chairs to your plan | Is setup included, and does it follow my floor plan? |
| Breakdown | Collecting and loading after the event | Do I need to stack and bag items first? |
| After-hours | Delivery or pickup outside normal hours | What hours count as standard? |
| Holiday or peak weekend | Extra cost on busy dates | Is my date treated as peak? |
| Damage waiver | Covers accidental damage | What is excluded, and is it required? |
| Cleaning | Extra washing or stain charges | What condition do I return items in? |
| Fuel | Propane or other fuel for heaters and cooking gear | Is fuel included or billed at pickup? |
| Tax | Sales tax on rentals | Is tax on the quote or added later? |
| Rush order | Short-notice bookings | What is the cutoff for standard pricing? |
| Re-delivery | A second trip if no one could receive the order | What happens if the venue is locked? |
| Lost items | Replacement for missing pieces | What is the replacement price per item? |
We are not listing dollar amounts because they differ by company and by job. The point is to see every line before the date is locked.
What most hosts find out too late
Stairs and carries are priced on what the crew sees, not what you told them. "A few steps" can mean 20 steps in a Chicago two-flat or a walk from a street spot to a back patio. Give the company the real route. Measure the doors, gates and stairs before you request the quote, and the number will not change later.
Heaters and fryers need fuel. Many rentals arrive without it, or with a starter amount. Ask whether fuel is included, who refills it mid-event, and what happens to a partly used tank. This matters most from October through March, when a patio heater runs all night.
Missing items are billed at replacement price. A chair or a glass rented for a few dollars can cost much more to replace. The count at delivery and pickup is the one thing in your control. How to count rentals walks through it.

A five-step way to use the checklist

Ways to lower the total without cutting items
- Pick a delivery and pickup time inside standard hours.
- Move the delivery point to the closest door.
- Stack, bag and group items so the crew loads faster.
- Move off a peak weekend if your date is flexible.
- Skip a waiver only if you have read the replacement prices and are comfortable with them.
