Event Rental Delivery Fees Explained: What You're Paying For
What goes into an event rental delivery fee in Chicago and the suburbs, from distance and stairs to loading docks, and how to lower it.

The chairs themselves are only half the story. Getting 150 chairs, a dozen tables and a few crates to a Chicago high-rise ballroom or a suburban backyard takes a truck, a crew and a plan. That work is what the delivery fee covers. When it jumps between quotes, it usually reflects how hard your location is, not how greedy the company is.
What drives the delivery fee
The main drivers
Distance. Companies price by zone or mileage. Our base is St. Charles, so a downtown Chicago address and a western suburb are different trips. Ask each company how its zones are drawn, and whether your suburb sits inside a standard zone or a farther one.
Order size. More items mean a bigger truck, more crew and more loading time. Delivery per item shrinks as the order grows, but the total rises.
Access. Stairs, a long carry from the curb, a freight elevator you must reserve, a loading dock with a time slot: each adds labor and risk. In Chicago, many buildings have delivery rules. Ask the venue or building manager before you finalize the order.
Time window. A narrow window or an early-morning slot costs more than a flexible one because the truck's schedule is tighter.
Floor level. An upper-floor ballroom takes longer than a ground-floor hall.
Delivery only, or delivery plus pickup?
Make sure you know what the fee covers. Some companies charge one fee for the round trip. Others charge a separate pickup fee. Compare in how to compare event rental quotes.
| Question | Why it matters |
|---|---|
| Is pickup included in the delivery fee? | Avoids a second charge |
| Is the fee per trip or per day? | Matters for multi-day events |
| Does it include carrying to the room? | Curb drop is cheaper but more work for you |
| Is there a minimum order for free delivery? | Small orders may not qualify |
| What is the window? | Fit it to venue dock times |
How to keep the delivery fee down
- 1Step 1Combine ordersOne truck for chairs, tables and linens is cheaper than three.
- 2Step 2Share the details earlyFloor, elevator, dock and parking.
- 3Step 3Pick a flexible windowA wider window often costs less.
- 4Step 4Choose a weekday or off-peak dateif your event allows it. See [saving on rentals](/blog/how-to-save-money-on-event-rentals).
- 5Step 5Consider will-callIf you have a vehicle and time, see [full service vs will-call](/blog/full-service-vs-will-call-event-rentals).
A quick example of how the pieces stack
Imagine two orders of the same 100 chairs. The first goes to a ground-floor hall with a loading door beside the room, a flexible window and a contact waiting at the door. The second goes to an upper-floor ballroom, with a freight elevator that must be reserved, a 30-minute dock slot and a long hallway carry. The chairs are identical, but the second job needs more people, more time and tighter scheduling. That difference is what you see in the fee. It is also why a company that quotes delivery before it knows your address is giving you a guess, not a price.
Questions to confirm with your venue
- Is there a loading dock, and does it need to be reserved?
- Is there a freight elevator, and are there hours?
- Does the building require a certificate of insurance from vendors? See COI for rentals.
- Where can a truck park, and for how long?
- Who is on site to let the crew in?
Pass the answers to your rental company. A crew that arrives to a locked door or a closed dock still costs time, and that time may be billed.
A Chicago note on timing
Downtown traffic, construction and building rules can narrow what a truck can do. Ask the rental company how they handle the delivery window: do they call before arriving, and what happens if the venue is not ready? A good answer saves you stress on the day. Also see what happens on delivery day.
