Event Rental Delivery Day: What to Expect and How to Prepare
A step-by-step look at event rental delivery day, from the crew's arrival and count to setup walk-through, with a checklist to keep your timeline on track.

Delivery day is where the planning either pays off or does not. For a first-time host it can feel mysterious: who shows up, what do they do, what should you check? Here is the morning in order, with what to prepare and what to watch for. We use Chicago-style logistics as the example, with docks, elevators and tight windows, but the steps are the same for a suburban backyard.
The delivery day sequence
Before the truck arrives
- Confirm the window the day before. Ask whether the crew will call on approach.
- Unlock and clear the space. Furniture, boxes and trash in the way slow the crew.
- Know the access. Dock, elevator, parking, and who opens the door.
- Post a floor plan or hand one to the crew lead. See setup and breakdown.
- Have a decision-maker on site. Someone with authority, a phone and the contract.
If the venue requires paperwork, like a COI, confirm it is accepted. COI for event rentals explains the process.
When the crew arrives
The crew lead usually checks in, reviews the order and walks the route to the room. Be ready to show:
- The loading spot and the path.
- The room or area for setup.
- The point of contact at the venue.
- Any no-go areas, like finished floors or delicate décor.
If something changed since booking, such as a different room or a blocked door, tell them now.
The count
This is the most important five minutes of the morning. Count chairs, tables and linens against the delivery sheet. Check:
| Check | What to look for |
|---|---|
| Quantity | Matches the contract |
| Style and color | The right items, not substitutes |
| Condition | No cracks, stains or missing parts |
| Extras | Spares and accessories included |
| Packaging | Crates and racks accounted for |
Note any problem on the paperwork and take a photo. A discrepancy raised on delivery is much easier to fix than one raised after the event. Match it with the return condition rules so you know what shape things should be in at pickup.
Setup and walk-through
- 1Step 1Chairs and tables placedto your layout and spacing.
- 2Step 2Linens placedif ordered, creases smoothed.
- 3Step 3Walk the roomwith the lead and confirm every table.
- 4Step 4Check aisle widthand exits. Spacing matters for guests and safety.
- 5Step 5Sign the delivery sheetonce the count and room look right.
If you want a quick sense of spacing, see our floor-plan help in how many chairs you need.
What to do if something is wrong
- Short on items. Ask the lead what the plan is and when they can fix it.
- Wrong style. Ask for a replacement or a credit, and get the answer in writing.
- Damaged items. Photograph and record on the delivery sheet.
- Venue not ready. Tell the crew; ask how waiting is handled.
A problem raised immediately gives the company time to solve it. A problem raised the next day is harder.
Staging for pickup
Before the crew leaves, ask: "What do you need from me at pickup?" The answer helps you keep the room tidy. Common requests include chairs stacked, linens bagged, dishes scraped and crates in a known location.
What not to do
- Don't leave the crew without a point of contact.
- Don't sign blank or partly filled forms.
- Don't move chairs around without the company's guidance once set; keep to the plan.
- Don't forget the other vendors. Florists, caterers and lighting teams often arrive after the chairs.

Chicago tip
Downtown buildings can limit delivery times, elevator use and truck parking. Ask your venue manager for a written load-in plan and share it with the rental company. If the plan changes, call both. See delivery fees for what access can do to the cost.
