Returning Event Rentals: Condition and Cleaning Expectations
What shape rented chairs, tables, linens and dishes should be in at pickup, what you clean and what you leave, and how to avoid surprise charges.

The party is over, the room is a mess, and the pickup crew arrives in the morning. This is where small surprises, like a missing chair, stained linen or sticky glasses, turn into line items. What the company expects at return is written into your contract, and it is usually simpler than people fear. The key is to know it before the event, not after.
What each item type usually needs
Chairs and tables
Stack or stage items where the crew can reach them. Wipe heavy spills if you can, but you generally do not need to scrub. Mud, paint, wax, glitter and adhesive are another matter; keep them away from furniture. If chairs were on grass or in rain, see outdoor event chairs and weather for how to handle them.
Also remove anything attached: ribbons, signs, floral wire and tape. Residue on a chair finish can lead to a charge.
Linens
Many companies ask you not to wash linens, because they have a specific process. Shake out food, bag dry and keep wet linens separate from dry ones. Do not use bleach. Point out any stain or burn to the crew. Candle wax and some dyes can be hard to remove, which is why companies ask for notice.
Dishes, flatware and glassware
Companies differ. Many want food scraped off but do not want dishes washed. Some require flatware in a soak bin. Glassware is typically returned empty in its original rack. Ask for the instructions in advance. The caterer may handle this, so confirm who is responsible. Working with a caterer is a good place to coordinate it.
The return count
- 1Step 1Stage everythingin one area, sorted by type.
- 2Step 2Count itagainst your delivery sheet.
- 3Step 3Walk the venuefor strays: chairs on a patio, linens in a restroom.
- 4Step 4Photographany damage that happened or the staged items.
- 5Step 5Count with the crewat pickup and get their sign-off.
Strays account for many "missing" items. A chair moved to the cocktail area and forgotten, or tablecloths in a coat room, can disappear from your count. The count at pickup is where it counts.
Common charges, and how to avoid them
| Charge | Why it happens | How to avoid it |
|---|---|---|
| Missing item | Not found at pickup | Walk the venue; count at delivery and return |
| Stained linen | Wax, wine, dye | Warn the crew; use protection |
| Damaged chair | Impact or misuse | Brief staff; do not overload |
| Excess cleaning | Heavy dirt or sticky residue | Wipe, scrape, bag as instructed |
| Late return (will-call) | Missed window | Confirm hours |
Whether you are billed for normal wear depends on your agreement, and many companies allow for it. Damage waivers explain how that works, and deposits cover security holds.
Who is responsible if the caterer, DJ or guests cause damage?
Typically you are, as the renter, unless the contract says otherwise. That is why briefing your vendors and staff matters. Tell your caterer and bartender how to handle rented items, and let the venue know where rented items are staged.
Questions to ask before the event

- Do you want dishes scraped, rinsed or racked?
- Should linens be bagged dry?
- How does the count work at pickup? Can I be present?

Chicago winter note
In cold months, slush and road salt come into venues on shoes and carts. Salt can mark floors and stain fabric, so lay mats at entrances and keep linens off wet areas. Items left in a cold truck or unheated space overnight may need extra drying time, so tell the crew if anything got wet.
