Nobody puts "crew tip" on a wedding spreadsheet, and then a team of four carries 150 chairs up a freight elevator and you wonder what to do. This is a common question, and there is no single rule that fits every company. Here is how to think about it, without inventing numbers that could embarrass either side.

Start with the contract

A short decision path for tipping a rental crew A decision path with three questions. First, does the contract include a service charge or gratuity? If yes, a tip is optional. If no, does the company allow tips? If yes, tip the crew lead directly. If the company says no tips, thank the crew and write a review instead. Gratuity in contract? Yes: tip is optional Company allows tips? Yes: tip the crew lead No: say thanks, leave a review
When in doubt, ask the company how its crews prefer to be thanked.

Three possibilities:

  • A service or gratuity charge is on the invoice. The crew may already be compensated through it. A further tip is a personal choice.
  • The company says tips are welcome. Ask how to give them, directly to the crew lead or through the office.
  • The company discourages tipping. Respect it. A kind note or a public review means a lot.

If you are not sure, ask: "Is tipping customary for your crew, and do you have a preference on how it's given?" That is a normal question. Add it to your questions for a rental company.

No set number

You will find numbers online for per-person tips, but we cannot verify a standard, and it varies by company, region and job. Instead of a rule, think in terms of what the crew faced.

Situation Reason to tip more generously
Stairs or a long carry More physical work
Rain, heat, snow or cold Hard conditions
Tight timeline Pressure and speed
Last-minute changes Extra effort
A big layout Larger job
A smooth, easy job A standard thank-you is fine

If you do tip, a pooled amount for the whole crew handed to the lead, with a quick note about who it's for, is simple. A tip paid in cash is usually easiest, but follow the company's guidance.

When and how to give it

  1. 1Step 1Check the contractfor gratuity or no-tip language.
  2. 2Step 2Ask the companyabout their preference ahead of time.
  3. 3Step 3Prepare it in advancein an envelope, so you are not hunting for cash on event day.
  4. 4Step 4Give it to the crew leadonce setup is done and you have walked the room.
  5. 5Step 5Thank them by nameand tell the office afterward.
Check the contract, then Ask the company, then Prepare it in advance, then Give it to the crew lead, then Thank them by name

For setup tips, give them after the walk-through, not before. For pickup, if you will not be present, ask the company whether you can leave a tip with the office or whether a tip is appropriate at all. See what happens on delivery day.

Two crews, two moments

Delivery and pickup may be handled by different people. If you want to thank both, plan for both moments. A late-night pickup crew often gets overlooked. It pairs with late-night and early pickup fees, where the labor is already after hours.

Other ways to thank a crew

  • Water and snacks. On hot days, cold water is appreciated; in winter, hot coffee.
  • A clear plan. A floor plan, an open door and a point of contact make the job easier.
  • Access. Clear the room and a path before they arrive.
  • A review or a note. Positive feedback to the company can help crew members.
  • Parking and dock arrangements. Confirm them in advance. This is also a Chicago courtesy, because a blocked dock is a stressful start.

Do not tip as a way to fix a problem

If a crew is late, careless or rude, a tip will not repair it and is not required. Raise the issue with the company. Our guide to red flags can help you think about when something is genuinely wrong.

Budget it

If you like to tip, put a small line for it in your budget so it does not feel like a surprise. It belongs with other day-of items, as outlined in the rental budget guide.

Frequently asked questions

Do you tip event rental delivery people?

It is optional. First check whether a service charge is included or the company has a tipping policy. If tips are welcome, give them to the crew lead.

How much should I tip a rental crew?

There is no verified standard, so we do not give a number. Think about the difficulty of the job and the conditions, and ask the company for guidance.

Should I tip for delivery, setup or both?

If you choose to tip, do it at the point the work is complete and you have seen the result, usually after setup. For a separate pickup crew, you can thank them too if it fits the company's policy.

Is it rude not to tip?

No. Tipping is a way to say thanks, not an obligation. A courteous, well-prepared client is appreciated either way.

Can I add a tip to the invoice?

Some companies let you, others do not. Ask when you book.

What if the company says no tipping?

Respect the policy. Thank the crew, and leave a positive review or note for the company.
