Ask ten planners what a rental budget should be and you will get ten numbers, none of which fit your event. That is because the total depends on style, services, venue and what is already provided. What you can do reliably is build the structure: know which lines scale with guests, which scale with tables, and which are flat. Then fill in the blanks with quotes. This guide does that for 50, 100 and 200 guests in the Chicago area.

What scales with what

Seats and 60-inch round tables needed at 50, 100 and 200 guests A bar chart with three groups. For 50 guests, about 7 round tables of 8. For 100 guests, about 13 tables. For 200 guests, about 25 tables. Taller bars show how table and linen counts grow with guest count. 7 50 guests 13 100 guests 25 200 guests 60-inch rounds, 8 per table
Tables and linens grow almost in step with guests; extras like the cake and gift tables stay flat.

The chair math

Multiply guests by the estimate range for your style, using the numbers on our chair pages. These are estimates for the chair itself, before services.

Guests Garden folding ($5 to $7) Cross-back ($8 to $11) Velvet ($18 to $25)
50 $250 to $350 $400 to $550 $900 to $1,250
100 $500 to $700 $800 to $1,100 $1,800 to $2,500
200 $1,000 to $1,400 $1,600 to $2,200 $3,600 to $5,000

Add a small cushion for vendors and late guests. See how many chairs you need for counting ceremony, dinner and lounge. Ceremony and reception seating may be the same chairs moved, or two sets; ceremony vs reception chairs explains the difference.

The rest of the list, by type

Per guest: chairs, plates (see plates per guest), flatware, glassware (glasses per guest) and napkins (napkins per guest).

Per table: tables, floor-length linens (tablecloth size chart), centerpiece items and table numbers.

Flat (per event): the cake, gift, guest book, DJ and bar tables, delivery, setup, breakdown, damage waiver, lighting or a dance floor, and any tent. Tables for 50 to 200 guests covers the extras.

What changes at each size

  1. 1Step 150 guestsabout 7 rounds of 8 or 5 rounds of 10. A small crew, one truck, simple access. Often a home, small hall or restaurant room.
  2. 2Step 2100 guestsabout 13 rounds of 8. A larger crew and more setup time. A dance floor and bar become real line items.
  3. 3Step 3200 guestsabout 25 rounds of 8. A big truck or two, staging space, longer setup. Layout and aisle clearance matter, and a tent may be needed.

Where each size tends to surprise people

  • At 50: minimums and delivery fees look large per guest because there are fewer guests to share them.
  • At 100: the extras (dance floor, bar, lounge) add up quickly.
  • At 200: labor, access and timeline become the major factors. Add buffers.

Set a cushion

Build a reserve for changes, such as a few added guests, an extra table or a rain plan. How much depends on how firm your plans are. Review it at your headcount lock.

Chicago-area factors

Costs vary with venue access, parking and building rules. A downtown ballroom with a freight elevator and a suburban backyard have very different labor needs. Also consider the season and day; see peak season and how to save.

Frequently asked questions

How much should I budget for event rentals?

It depends on your style, services and guest count. Build the structure first: per-guest items, per-table items and flat costs, then get a quote for each line.

How much does it cost to rent chairs for 100 guests?

At our estimates, about $500 to $700 for garden folding chairs or $800 to $1,100 for cross-back chairs, before delivery, setup and other services.

How many tables do I need for 100 guests?

About 13 round tables of 8, or 10 rounds of 10, plus extra tables for the cake, gifts, DJ and bar.

Does the per-guest cost go down with more guests?

Fixed costs, like delivery, spread across more guests, but labor and items rise too. The total grows with guests, so compare totals rather than per-guest numbers.

What is usually forgotten in a rental budget?

Extra tables, linens for them, spares, setup and breakdown labor, the damage waiver, tax and a cushion for changes.

Can I get an exact number before I choose a venue?

You can get a range. Delivery and labor will be firm only after you know the address and access.
