The number on your quote depends on one thing: how many times a guest gets a clean plate. A seated wedding in a Chicago banquet hall and a backyard graduation party in Naperville have very different answers. This guide builds the count from the menu, so you can check a rental quote line by line instead of trusting a rule you cannot verify.

Start with courses, not guests

Each course served on a plate needs its own piece. Ask your caterer whether a course is plated, buffet-style or on the table, and whether they clear plates between courses. If the kitchen clears and re-uses nothing, you need one piece per course.

Counting table by event

Event Plates per guest Pieces
Plated wedding, salad + entree + cake 3 Salad, dinner, dessert
Plated dinner with soup 3 to 4 Bowl, salad, dinner, dessert
Buffet dinner with cake 2 Dinner, dessert
Cocktail reception, heavy bites 2 to 3 Appetizer plates
Brunch buffet 1 to 2 Dinner or salad, small plate
Casual cookout 1 Dinner

These are planning counts. A caterer who plates a dish on the plate's own dessert or in a bowl changes the count, so confirm before you order.

Why guests use more than you expect

At a buffet, many guests take a second plate instead of reusing the first. At a cocktail hour, people set down a plate and pick up a new one. Plan higher at standing events than at seated ones. For cocktail hours, see our appetizer plates guide.

A worked example: 120 guests

Say you are hosting 120 guests at a seated dinner in a West Loop loft with a salad, entree and cake. That is 3 pieces per guest.

  • 120 salad plates
  • 120 dinner plates
  • 120 dessert plates
  • Add a cushion of about 8% (10 pieces of each) in case of breakage and extra guests
  • Total: 130 salad, 130 dinner, 130 dessert, plus 120 bread plates if you serve bread and 120 cups if you serve coffee

Many couples save money by using the salad plate for dessert. That cuts the third item out of the count, though the cake and the entree plates will not match in size. For a larger counted list, see china for a 100-guest wedding.

Remember the staff and vendors

Photographers, DJs and bands often eat. Some caterers feed the vendors on disposable plates, but some want rental china. Ask. The same goes for the head table and any kids table. Kids can use smaller plates or plastic, as covered in dinnerware for kids.

Mistakes that cost a rental order

Counting only the RSVP list and forgetting the staff is the common one. Another is ordering the same number of dinner plates and forks but forgetting the bread plates. A third is ordering after the headcount changes and not updating the quote. Update your numbers whenever the RSVP list moves, and ask when the final count is due.

Frequently asked questions

How many dinner plates do I need for 100 guests?

You need 100 dinner plates for the seated meal, plus a cushion of about 5 to 10%. So order 105 to 110. If you also serve a salad and dessert, order the same count for those plates too.

How many plates per person for a buffet?

Count 2 plates per person: one for the buffet and one for dessert. Add a few extras because some guests go back with a fresh plate. Self-serve cookouts can get by with 1 per person.

Should I order extra plates?

Yes. A cushion of roughly 5 to 10% covers breakage, late additions and vendor meals. Rental companies charge for broken pieces, so check the policy in breakage and loss fees explained.

How many plates do I need for a cocktail party?

Plan for 2 to 3 small plates per guest. Guests put plates down and pick up new ones, so you run out faster than at a seated meal. Choose smaller appetizer plates, not dinner plates.

Do I count chargers as plates?

Chargers are not eaten from, but you need one per seat if you use them. The count is the same as the number of seats, not the number of courses.

Do kids need the same number of plates?

Kids need the same number of courses, but you can serve them on smaller or unbreakable plates. Count them in the total so you do not run short.
