Running out of napkins is one of those failures that only shows up mid-event. The caterer is already serving, the bar is busy, and someone drops a napkin in a spill. The fix is arithmetic, not luck. Below is a simple way to count for any Chicago-area event, from a 40-person rehearsal dinner to a 250-person gala.

Count by moment, not by guest

A single "napkins per guest" number hides the fact that napkins are used at different points in the night. Count each moment separately.

Napkin needs across an evening for 100 guests A horizontal bar chart shows a rule-of-thumb napkin need for 100 guests: about 250 paper cocktail napkins, 110 cloth dinner napkins, 100 late-night napkins, and 10 spare cloth napkins for spills. Cocktail Dinner Late night Spares 25011010010
Rule-of-thumb totals for 100 guests. Cocktail napkins are the biggest number because guests use two or three each.

Cocktail hour

Guests use a napkin with each passed appetizer, drink and plate. A common planning range is 2 to 3 per guest. Paper or printed cocktail napkins are normal here, and they save laundering. If you want cloth, use small 12-inch cloths and expect to rent many more.

Seated dinner

One cloth napkin per seat, matching the guest count at each table. Count seats, not guests: a table with an extra seat for a child or a no-show still needs a napkin set. Add a spare of about 10 percent for spills, drops and the tables you forgot.

Buffet or family-style

Same one-per-guest rule, but guests often take a second napkin when they refill. Keep a stack of spares near the buffet and at the bar.

Dessert and late-night

If you serve a late-night snack such as sliders, pizza or tacos, those napkins are separate from the dinner set. Count 1 per guest, 2 for messy foods.

A worked example: 120 guests

Moment Napkin type Per guest Total for 120
Cocktail hour Paper cocktail 2 to 3 240 to 360
Dinner Cloth 20 x 20 in 1 120
Spares for dinner Cloth 20 x 20 in about 10% 12
Late-night Paper 1 to 2 120 to 240

The totals are planning ranges, not rules from any supplier. Your caterer and rental provider may have their own counts, so ask what they bring and what you need to supply.

Who supplies what

Napkins come from three places.

  • The rental company supplies cloth dinner napkins with the linens.
  • The caterer may supply paper napkins and bar towels as part of service.
  • You supply custom printed cocktail napkins if you want them.

Write down who is doing what. At large events two sources often each assume the other is bringing the late-night napkins.

  2. 2Step 2Count tablesand multiply by seats, not by guests.
  3. 3Step 3Add the spare(about 10 percent) to the cloth dinner count.
  4. 4Step 4Add paper napkinsfor cocktail hour and late-night food.
  5. 5Step 5Confirm with the catererwho supplies staff and bar napkins.

Don't forget the oddballs

Several napkin needs hide in the details.

  • Children's seats. Same napkin count, but smaller spills; a few extra helps.
  • Vendor meals. The photographer, DJ and band often eat. Count them.
  • Head table and sweetheart table. Both need sets and sometimes a different color or fold.
  • Bar and coffee stations. These use a lot of paper napkins.
  • Backups. Two or three napkins stored in the caterer's kitchen save everyone when a server drops a stack.

Chicago note: the weather changes the count

A summer tent party with sweating glasses and ribs uses more napkins than a winter ballroom dinner. Outdoor events get wind, and the first napkin to blow away is the last one you counted. Frequently asked questions

How many cloth napkins should I rent for 100 guests?

About 110, which is one per guest plus roughly 10 percent for spills and surprises. If you have vendors eating, add their seats first. Ask your rental company whether it already includes a spare in its standard count.

How many cocktail napkins per person?

Plan 2 to 3 per guest for a cocktail hour of about an hour. Go to 4 for a longer reception with passed appetizers or messy foods.

Do I need napkins for the bar?

Yes. Bartenders use bar towels and napkins for glasses and spills. Ask your caterer or bar service whether they supply their own, and count separately for guest napkins at the bar.

Are paper napkins okay at a wedding dinner?

For a formal seated dinner, cloth looks better and feels more substantial. Good quality paper is fine for casual dinners, cocktail hour and late-night food.

How many napkins for a buffet?

One per guest as usual, plus a stack of extras at the buffet and dessert table. Guests often pick up a second napkin for the second trip.

Should I count kids' napkins?

Yes, count every seat. Children's tables often need more napkins, not fewer.
