Table Rental for Outdoor Events: Level Ground, Wind and Setup
How to set rental tables outside in the Chicago area: checking ground, leveling legs, wind, rain, grass and shade, with a step-by-step setup list.

Outdoor tables fail in three ways: they wobble, they blow over, or they sink into wet grass. All three are avoidable with a walk of the site and a plan. Whether you host a backyard party in Naperville, a park pavilion event or a lakefront reception, this checklist keeps the tables steady.
Ground check
| Ground | Works for tables? | Fix |
|---|---|---|
| Concrete or patio | Yes | Check for slope |
| Pavers | Mostly | Sand pockets can shift |
| Dry, firm lawn | Yes | Aerate not required; avoid roots |
| Soft or wet grass | Risky | Boards or flooring under legs |
| Gravel | Poor | Use plywood or flooring |
| Sloped yard | Poor | Terrace or tent flooring |
Walk the site the week before and again on the day. A lawn that looks flat can have dips that only show with a table on it. After rain, grass turns soft and legs sink. Ask the rental company or tent company about flooring if the site is soft.
Leveling steps
- 1Step 1Choose the spotaway from tree roots and drains.
- 2Step 2Set the tableand extend the legs fully.
- 3Step 3Place a levelon top, check front to back and side to side.
- 4Step 4Shimthe short leg with a wood or plastic shim.
- 5Step 5Testby pushing on each corner.
Wind, sun and rain
- Wind. Use heavy linens or clips on cloths. Avoid tall centerpieces. Tall cocktail tables need weighted bases.
- Sun. Tables in direct sun get hot. Add a tent, umbrellas or shade sails, and keep drinks cool.
- Rain. Have a covered backup or a tent with sidewalls. See seasons and venues guides.
- Cold. Fall and spring evenings drop quickly. Plan heaters under a tent and keep tables away from them.
Layout outdoors
Space tables 5 feet apart or more on grass so chairs do not sink into walkways. Put the buffet and bar on firm ground such as a patio. Keep a hard path to restrooms and parking. For spacing numbers see table spacing and aisle clearance.
Staking and digging
Tents and stakes go in the ground, and digging near buried utilities is dangerous. If anything will be staked or dug, call 811 before work begins and let your tent company handle that part. Tables do not need stakes.
Delivery and access
Can a truck reach the site? Carrying tables across a lawn takes longer than driving to a patio. Ask your rental company for the setup time and tell them about gates, steps and distance from the curb. Park district sites may restrict vehicles on grass, so check with your park district about rules.

Chicago timing
Chicago summer afternoons can reach the 80s and 90s, and storms can show up fast. Spring and fall bring wind. Late-day light and sunset change with the season, so check your sunset time and plan lights. For more on how weather affects the guest experience see our seasons and venues guides.
A setup morning checklist
On the day of an outdoor event, give yourself at least two hours before guests arrive to walk through the site. Confirm each of the following.
- The ground is dry enough to walk on without sinking, or the boards are down.
- Every table is level and stable. Push on all four corners.
- Cloths are secured with clips or weights.
- Food and drink tables are in the shade or under cover.
- Walkways are clear and the path to restrooms is firm.
- Trash and recycling bins are placed away from the tables.
- A rain plan is ready, with tent sidewalls, an indoor backup or a plan to move tables.
Questions for your rental company
- Do your tables have adjustable legs, or do you bring shims?
- Can you bring flooring or boards for soft ground?
- What time can you set up, and what time do you pick up?
- Who handles setup if the weather changes?
- Is there a fee for delivery across a lawn or long carry?
Outdoor events also depend on the venue. Public parks and forest preserves have their own rules about vehicles, stakes and tents, so contact your park district or the site manager before you book rentals.
