Planning an Event in Evanston, IL: Chairs, Tables and Rentals
How to plan chairs, tables and rentals for an Evanston event, from lakefront wind and older-home access to park permits, parking and seating counts.

Evanston is one of the easiest suburbs to fall in love with and one of the trickiest to deliver to. You have Lake Michigan on the east side, a dense street grid with limited curb space, big older homes with narrow side yards, and a university calendar that changes the traffic and hotel picture every spring. This guide covers how to plan the rental list for an Evanston wedding, graduation, fundraiser or backyard party, and what to ask before you sign anything.
Start with the site, not the chairs
The three most common Evanston setups are very different jobs.
- Lakefront or public park. The City of Evanston runs a Parks, Recreation and Community Services permits and rentals office, and it publishes a special event permit application. If your event is outdoors on city property, start there. Ask what is allowed on the day, including tents, amplified sound and food, and ask for it in writing.
- A private home. Many Evanston houses have a front porch, a deep rear yard and a shared driveway. The question is how rentals get from the truck to the yard.
- A hall, church, club or university space. The space usually provides tables, but not always the chair you want. Ask what is included before you order anything.
Lakefront and park events: permission and wind
Lake Michigan changes the weather in a way that inland guests do not expect. Shoreline spots are often cooler than the rest of the city in late spring and summer, and the breeze off the water is steady. That affects three things on your rental list.
- Chair weight and stability. Wooden chairs like the cross-back and Windsor sit solidly. Light stacking chairs can shift on sand or soft turf if guests lean back. Ask us about foot pads for lawn setups.
- Table linens. Floor-length cloths catch wind like sails. Use clips or weights, or choose a lap-length drop. Our tablecloth size chart shows both.
- Shade and warmth. Plan a wrap basket or blankets for evenings, and a shaded waiting area for guests who sit still through a ceremony.
Do not assume you can tent, serve alcohol or play amplified music on city land. Those are separate approvals, and rules change. Call the City of Evanston permits office and your own venue contact, then build the rental list around what you are told.
Private homes: the delivery path
The most common Evanston surprise is not the yard. It is the path to the yard. Before you order, walk the route a delivery person will carry a rolled-up table and a stack of chairs.
- 1Step 1Measure the gateSide yard gates and passages can be narrower than a standard banquet table is long.
- 2Step 2Note steps and slopesStairs to a back deck mean more labor and more time.
- 3Step 3Check the curbCan a truck stop, or will it need a few minutes in a loading zone?
- 4Step 4Pick the staging spotA garage or covered porch protects rentals from rain until set-up.
- 5Step 5Mark the layoutA simple sketch with table positions saves an hour on the day.
If you are not sure what fits, send photos of the yard and gate with your quote request. Our guide to how many chairs you need helps with the count.
How much room does the event need?
A good rule of thumb for a seated dinner at round tables is about 10 to 12 square feet per guest, and more if you add a dance floor, buffet or bar. Use the chart below to see what fits.
| Setup | Guests | Tables | Rough space |
|---|---|---|---|
| Porch dinner | 12 | 2 rounds of 6 (48 in) | 20 x 12 ft |
| Backyard party | 40 | 5 rounds of 8 (60 in) | 30 x 30 ft |
| Wedding reception | 100 | 10 rounds of 10 (72 in) | 40 x 50 ft plus dance floor |
| Fundraiser in a hall | 150 | 15 rounds of 10 (72 in) | Ask the hall for its capacity |
These are planning numbers, not code limits. Your venue or the City sets the real capacity, so confirm it before you finalize a head count.
Which chair fits an Evanston event?
Evanston skews toward warm, architectural looks: older brick homes, university spaces, lakeside views. Three choices tend to fit best.
- The Windsor spindle chair suits a traditional home or a club room, from about $9 to $12 each.
- The ghost chair disappears against a lakeside background, from about $10 to $14.
- The teak garden folding chair is the budget workhorse for ceremonies and big lawns, from about $5 to $7.

Timing around the university calendar
Evanston gets busy when Northwestern is in session and especially around commencement time, when hotels and restaurants fill. If you are planning a graduation party or a late spring wedding, book your date, your venue and your rentals early. Check our journal for timing guides, and the sooner you confirm your count, the more style choices you keep.
Delivery, setup and pickup
Beyond Chiavari is based in St. Charles and starts deliveries with the 2027 Founding Season in April 2027. For Evanston, ask these before you confirm:
- What is the delivery window, and does someone need to be on site?
- Is setup included, or do you need to arrange it?
- When is pickup, and does it happen the same night or the next morning?
- What are the fees for stairs, long carries or restricted access?
