How to Spot a Quality Rental Chair: A 10-Point Inspection
A 10-point checklist to judge rental chairs before you book and on delivery day: wobble, joints, finish, seat, stacking, smell and what to do if something is wrong.

Most rental chairs look fine in a photo. The difference shows up when a guest sits down: a rocking leg, a squeaky joint, a scratched seat. By then it is too late to fix. A quick inspection takes two minutes per style and prevents those moments. This guide gives a 10-point check for what to look at before you book and on the morning of your Chicago event, plus the words to use if something is wrong.
The 10-point inspection
- Wobble. Sit on the chair and shift side to side. It should not rock or creak. Put it on a flat floor and press each corner; rocking can mean uneven legs.
- Joints. Look where the back meets the seat and where legs meet the frame. Gaps, loose screws or glue stains are warnings.
- Legs. Straight, even and the same length. A shorter leg makes a chair tilt.
- Finish. Even color, no large chips and no exposed raw wood or metal. Small scuffs are normal on rentals.
- Seat surface. No splits in wood, tears in upholstery, stains or loose weave in cane.
- Back. No cracks at stress points, such as where a slat meets a rail.
- Cushions or pads. Clean, intact and not flattened.
- Cleanliness. No sticky spots, odors or dust. Wipe a corner to check.
- Stacking. Stackable chairs should stack cleanly without scraping. Stacks should be stable.
- Consistency. Chairs in a set should match in finish, size and condition. A few off-color chairs stand out in a row.
Before you book
Ask your rental company:
- Can I see photos of the actual chairs, not just stock images?
- How old are they, and how often are they replaced or refinished?
- What is the rated capacity of this model? See chair weight capacity and seat sizes.
- What is the replacement policy if a chair fails?
- Who is responsible for damage, and how is it assessed?
We are launching with the 2027 Founding Season in April 2027, so we don't have a track record to show yet. What we can promise is that we publish the chair details, estimate prices openly and will answer these questions in writing before you book.
On delivery day
- 1Step 1Countthe chairs against your order, including spares.
- 2Step 2Sampleat least one of every 10 chairs by sitting on it.
- 3Step 3Checkcushions, pads and any accessories.
- 4Step 4Photographany issue with the delivery time visible.
- 5Step 5Tell the driverbefore they leave, and get a swap.
Do this before the delivery crew leaves, not at the event start. A swapped chair takes minutes when the truck is still there and hours when it is not. Also photograph the chairs when they are picked up, so any dispute about damage has evidence on both sides.
Quality differs by chair type
| Chair | What to check first |
|---|---|
| Cross-back, Windsor | Joints, leg wobble, split slats |
| Ghost | Cracks near the legs, deep scratches, cloudiness |
| Velvet, Louis | Stains, fabric tears, loose trim |
| Rattan, Cane-back | Loose or broken weave, damp smell |
| Infinity | Bent frame, chipped paint, pad condition |
| Garden folding | Hinge strength, slats, locking |
Red flags in a quote
- No mention of delivery, setup or pickup details.
- No damage policy or an unclear one.
- Stock photos only for a chair style, with no real photos.
- No rated capacity available for a chair.
- A price that is far below others in the market for the same style. Cheap is fine; mysterious is not. See wedding chair rental cost.
What to do if a chair fails
Remove it from use, photograph it, tell the rental company by phone and in writing and ask for a replacement. Don't try to repair it. Keep a few spares in your order so a swap takes seconds; see how many chairs do I need.
