Stackable vs Non-Stackable Chairs: Setup Time, Storage and Cost

How stackable and non-stackable rental chairs differ for Chicago events: truck space, load-in time, ceremony flips, storage, outdoor use and which of ours stack.

Stacking sounds like a trivial feature until the truck pulls up to a downtown Chicago loading dock with a 20-minute window. Then it is the difference between a smooth load-in and a stressed one. Stackable chairs change the labor, the delivery fee and the amount of room you need on event day. This guide compares them honestly, so you know where to save and where to spend.

Which of our chairs stack

Chair Stackable Outdoor Estimate
Cross-back Yes Yes $8 to $11
Ghost Yes Yes $10 to $14
Gold infinity Yes Yes $9 to $13
Shell Yes Yes $9 to $12
Garden folding Yes Yes $5 to $7
Rattan No Yes $12 to $16
Bentwood No No $9 to $12
Wishbone No No $14 to $18
Velvet No No $18 to $25
Cane-back No No $12 to $16
Windsor No Yes $9 to $12
Louis medallion No No $20 to $30
Royal throne No No $75 to $150 per pair

Notice that the stackable chairs are also the lower-priced ones. That is not a coincidence: they save labor and truck space, and the savings show up in the price.

What stacking changes on event day

Truck space needed for 100 stackable chairs versus 100 non-stackable chairs Two side-by-side boxes represent truck floor space. Stackable chairs in stacks of 10 use about 10 small squares of floor space. Non-stackable chairs use about 100 squares in the same units, shown as a much larger block. Relative figures only, for illustration. Stackable 1 unit Non-stackable Several times more Much more floor space
Illustrative only: stacked chairs share floor space, single chairs do not, so non-stackables need more truck, more trips or both.

Stackable chairs help in four places:

  1. Truck and elevator trips. Stacks of chairs move in fewer loads.
  2. Setup time. A crew can carry a stack, unstack at the row and place it.
  3. Ceremony flips. The ceremony chairs are stacked and moved quickly to the reception room. See ceremony vs reception chairs.
  4. Storage during the event. Extra chairs wait in a corner, not across a hallway.

When non-stackable is worth it

Non-stackable chairs are usually the ones with a design payoff: upholstery, carved trim, woven panels or high backs. You pay for it in labor and space, so it is smart to use them where the look matters.

  • Head table and family tables. A few velvet or Louis chairs are manageable.
  • Small guest counts under about 80, where the extra trips don't add much.
  • Design-led rooms such as lofts, estates and restaurants where chairs are seen all night.
  • Lounge areas. Rattan or cane chairs usually stay in place all night.

Plan the load-in

For a downtown venue, ask these questions before you order:

  1. 1Step 1Where is the loading dockand how long can a truck stay?
  2. 2Step 2Is a freight elevatoravailable, and when?
  3. 3Step 3How many stairs or doorsbetween the dock and the room?
  4. 4Step 4Where can the chairs waitbefore they go on the floor?
  5. 5Step 5When must the room be clearafter the event?
Where is the loading dock, then Is a freight elevator, then How many stairs or doors, then Where can the chairs wait, then When must the room be clear

These answers drive the setup quote more than the chair type does. If you have a long carry or stairs, say so when you request a quote. For suburb and ground-floor venues the questions are simpler, but still worth asking.

Mixing the two

You do not have to choose one. The most efficient plan for a 150-guest wedding is often:

  • Stackable chairs for the ceremony and the guest tables.
  • A few non-stackable statement chairs for the head table.

That approach keeps labor reasonable and puts the extra money where guests will see it. For a worked example, see mixing chair styles at one reception and wedding chair rental cost.

Weather and outdoor use

Stackable does not mean waterproof, but all our stackables are rated outdoor-friendly, while most non-stackables are indoor only (the Windsor and rattan are the exceptions). On a lawn, stackable chairs are also easier to lift out of the way when rain arrives. For soft ground, see chairs on grass, sand and gravel.

Frequently asked questions

Which rental chairs are stackable?

In our catalog, the cross-back, ghost, gold infinity, shell and garden folding chairs stack. The others do not.

Are stackable chairs cheaper to rent?

Often, yes. They save truck space and labor, and our stackable styles run from about $5 to $14 per chair.

Do stackable chairs look cheap?

Not necessarily. The infinity and ghost chairs are stackable and look formal. The look depends on the design, not the stacking.

How many chairs can be stacked?

It depends on the chair and the rental company's handling. Ask for the recommended stack height, and never stack chairs on soft ground.

Do non-stackable chairs cost more to set up?

They usually take more time and trips, so the setup part of your quote can be higher. Ask for delivery and setup priced separately.

Can I use stackable chairs for a ceremony and a reception?

Yes, and it is the easiest way to flip a room. Plan a crew and a place to stage the stacks.

Do stacking chairs scratch each other?

They can if stacked without care, especially acrylic and painted finishes. A good rental company uses padding or handles them carefully.
