Chair Setup and Breakdown: Who Does What on Event Day
Who sets up and breaks down rental chairs at a Chicago event: rental company, venue, caterer or you, with a day-of timeline, labor questions and a checklist.

Nobody argues about who rents the chairs. They argue about who carries them. Delivery, placement, the ceremony-to-reception flip and the end-of-night stack are four separate jobs, and when no one owns them, they land on the wedding party in formal clothes. A little planning on who does what keeps the day smooth and keeps your quote honest. This guide breaks the job into parts and tells you what to ask.
The four jobs
- Delivery. The chairs arrive at the dock or door. The rental company usually owns this.
- Placement. Chairs are moved into the room and set at tables or in rows. This is the largest job.
- The flip. Ceremony chairs are moved to the reception, or the room is reset. It must happen in a short window.
- Breakdown. Chairs are stacked or gathered and removed.
Common service levels
| Service level | What the rental company does | What you or your venue does |
|---|---|---|
| Drop-off | Delivers to the curb or dock | Moves, sets and returns chairs |
| Delivery to room | Brings chairs into the room | Sets rows and tables |
| Full setup | Places chairs per your floor plan | Approves the layout |
| Setup and pickup | Sets up and removes after | Gives access and a time window |
| Flip service | Moves ceremony chairs to reception | Provides the timing |
Ask which of these your quote includes. Prices differ widely between levels, and "delivery" on its own often means drop-off only.
What venues commonly handle
Many venues set their own tables and chairs, or require a specific crew for rentals. In downtown Chicago, buildings often have rules about vendor access, loading docks and freight elevators. Ask the venue:
- Do they have their own staff for setup, or must vendors do it?
- When can vendors arrive, and when must the room be clear?
- Is a certificate of insurance required?
- Where can crates wait before setup?
Rules are specific to each building, so get answers in writing.
Who does the flip?
A ceremony-to-reception flip is the hardest part. It typically happens during cocktail hour, in about an hour, and every minute counts. Stackable chairs help a lot; see stackable vs non-stackable chairs. Decide:
- Who moves the chairs? The venue, the caterer or the rental crew.
- Where do they go? Plan the route and the destination in advance.
- Who resets the room? Floor plan, tables and place cards.
- When does cocktail hour end? Work backward from that.

Breakdown details people forget
- Remove decor first. Ribbons, florals and signs must be taken off before chairs are stacked. See chair back decor.
- Gather cushions separately. Keep them dry and together.
- Count at pickup. Missing chairs are charged; count together.
- Clear the aisle runner. It slows stacking if left on the floor.
- Leave the floor clear. Chairs, crates and trash should be out of the venue's path.
Floor plan and labeling
A marked floor plan reduces setup time and errors. Mark table numbers, chair counts per table and the aisle locations. Label chair groups for the head table and special seating so they don't mix with the guest chairs. Our how many chairs do I need guide gives you the counts to put on the plan.
