Booking a hotel ballroom in Chicago? What is included, outside rental rules, loading docks, room blocks, minimums and the questions to ask first.

Hotel ballrooms are a favorite for Chicago weddings, galas, quinceañeras, mitzvahs and company parties. They solve a lot at once: guest rooms upstairs, parking or valet, a kitchen and a staff that sets the room. The trade-off is rules. Hotels run several events a day through shared docks and elevators, so outside vendors work on the hotel's schedule.

What the hotel usually provides

Most hotel ballroom packages include the hotel's banquet chairs, round tables, white or ivory linens, napkins, china, glassware, flatware, a dance floor in some packages, and banquet staff to set and clear. The look is clean and neutral. What couples and planners usually add: upgraded chairs, colored or textured linens, chargers, a sweetheart table, lighting, a backdrop, lounge furniture and decor.

Outside rental rules: the 8 questions

Question What to listen for
Are outside rentals allowed? Some hotels only allow their preferred vendors.
Which dock and freight elevator? The route from truck to ballroom, and any size limits.
What are the delivery and removal windows? Often tight, especially with an event in the room the morning after.
Will hotel staff set rented chairs and linens? Or does the rental team do it?
Is there a fee to remove the hotel's chairs? Some hotels charge to store their own furniture.
What insurance is required? Many hotels ask every vendor for a certificate of insurance.
What decor is not allowed? Candles, confetti, glitter, and anything taped to walls.
Is the ballroom shared or flipped? A ceremony-to-reception flip changes timing for rentals.

Insurance note: Beyond Chiavari does not issue certificates of insurance ourselves yet. Tell us your hotel's requirements at quote time and we will let you know before you pay whether the rental partner can meet them.

Timing and the room flip

Many hotel weddings hold the ceremony in the same ballroom as dinner, then flip the room during cocktail hour. That works when the ceremony chairs can be reused at dinner tables. If you rent special ceremony chairs, plan who moves them and how long it takes. A hotel may also book the ballroom the next morning, which means rentals come out the same night. Same-night pickups are common at hotels and can cost more than next-day pickups.

Room blocks and guests

The ballroom is only half the hotel conversation. Many hotels offer a room block for your guests, and some tie the ballroom pricing to it. Our guide to hotel room blocks for wedding guests explains the terms to read, and welcome bags and hotel logistics covers the rest. Downtown hotels fill and raise rates during big city events, so check dates against the Chicago event planning calendar.

Where hotel ballrooms cluster

Downtown Chicago, including the Loop, River North and the Gold Coast, has the highest concentration of hotel ballrooms. In the suburbs, look at Oak Brook, Schaumburg and Naperville. Downtown hotels often have tighter docks and stricter delivery windows; suburban hotels usually have easier parking.

Frequently asked questions

Can I bring outside chairs into a hotel ballroom?

Often yes, but rules vary. Many hotels allow outside rentals with set delivery and removal windows, some require a preferred vendor, and some charge to store their own chairs. Ask before you book.

What does a hotel ballroom package include?

Usually banquet chairs, round tables, basic linens, napkins, place settings and staff, priced per person with a food and beverage minimum and a service charge. Upgraded chairs, specialty linens, lighting and decor are typically extra.

Do hotels require insurance from rental vendors?

Many do, usually a certificate of insurance naming the hotel. We do not issue certificates of insurance ourselves, so tell us the requirement at quote time and we will confirm before you pay.

Why does same-night pickup cost more?

Because the crew has to wait until the event ends, often late at night, and work around the hotel's dock schedule. Next-day pickup is cheaper when the hotel allows it.

What is a banquet event order?

It is the hotel's detailed document for your event: room setup, menu, timing, equipment and staffing. Review it carefully, because it is what the hotel staff will follow on the day.

Are hotel ballrooms good for winter events in Chicago?

Yes. Indoor space, guest rooms and parking make hotels a strong choice from November to March, when snow and cold make other venues harder.
