A downtown Chicago hotel ballroom is a reliable choice for a wedding reception: built-in capacity, an events team that runs weddings constantly, and a location guests can find easily. But a hotel ballroom isn't a blank room you can set up however you like. The hotel has its own furniture, its own schedule, and its own rules for anyone bringing things in from outside.

In-house furniture vs. your own rental chairs

Every downtown hotel ballroom comes with its own chairs and tables as part of the room rental or catering package. These are usually simple banquet chairs and round or rectangular tables, built for volume rather than a particular look. If you want something different, like a cross-back chair or wishbone chair for your head table, or a full room of a specific chair style, many hotels will allow outside rental furniture for an additional fee.

Question for your catering manager Why it matters
Can we bring in outside chairs or tables Not all hotels allow it without a fee
Is there an outside vendor fee Can affect your overall budget
Will the hotel remove their furniture or store it Affects room setup time
What's the load-in and load-out window Tied to other events in the hotel
Is a certificate of insurance required Set by the hotel, not by you

Confirm this with your catering or events manager as early as possible, since it shapes both your budget and your rental order.

Loading docks and freight elevators

Downtown hotels are busy buildings with multiple events happening at once, sometimes on the same day in different rooms. Getting rental furniture into a ballroom usually means using the hotel's loading dock and a freight elevator, not the main lobby entrance. Ask your catering manager:

  1. 1Step 1Where the loading dock isand how a delivery truck should approach it.
  2. 2Step 2Which freight elevatorserves the ballroom floor.
  3. 3Step 3What time windowis reserved for your vendors.
  4. 4Step 4Whether other eventsare sharing the dock or elevator that day.
  5. 5Step 5Who signs for deliveriesif you're not on site yet.
Where the loading dock is, then Which freight elevator, then What time window, then Whether other events, then Who signs for deliveries

Our guide to high-rise freight elevators and COI requirements covers a lot of the same logistics that apply inside a hotel tower.

Working around the hotel's event timeline

A hotel ballroom usually has a tight schedule built around other events, housekeeping turnovers, and the hotel's own staff setting tables and linens. Your rental delivery, setup, and any swap of furniture needs to happen inside a window the hotel assigns, not whenever is convenient for you. Build your wedding day timeline around:

  • When the room is actually released to you and your vendors
  • How much time the hotel staff needs to set their own tables before your extra furniture goes in
  • When everything needs to be out the next morning, if there's another event right after

Certificates of insurance

Hotels almost always require a certificate of insurance from any outside vendor delivering furniture, décor, or equipment into the building. This is standard for hotel events and protects the property in case of damage. If your hotel requires one, ask whoever delivers your rental chairs and tables for their certificate of insurance well ahead of your date, and send it to your catering manager for approval before the wedding.

Choosing furniture for the room

A ballroom's size and existing décor matter when picking a chair style. A ghost chair works well for a modern look against a neutral ballroom, while a bentwood chair feels more classic. Check the tablecloth size chart against the hotel's actual table sizes, since hotel banquet rounds are often a different size than what you'd use at home. Frequently asked questions

Can I bring in my own rental chairs for a hotel wedding?

Usually yes, but confirm with your catering or events manager first. Many hotels allow outside rental furniture for an additional fee, while their in-house chairs are included in the base package.

Does the hotel provide a certificate of insurance for my rental company?

No. If the hotel requires a certificate of insurance, it comes from whoever delivers your rental furniture, not from the hotel or from you.

How does rental furniture get into the ballroom?

Almost always through the hotel's loading dock and a freight elevator, on a schedule the hotel assigns, rather than through the guest lobby.

Will the hotel remove their own chairs if I rent different ones?

Ask ahead of time. Some hotels remove and store their furniture for your event, while others may charge extra or need more setup time to do so.

What if another event is using the loading dock the same day?

This is common in busy downtown hotels, so confirm your delivery window early and build in some buffer time in case the schedule shifts.

How far in advance should I confirm outside rental approval with the hotel?

As early as possible, ideally when you book the ballroom, since it affects your rental budget and your vendor's delivery schedule.
