Complete Wedding Rental Checklist for Chicago Couples

Every rental a Chicago-area wedding needs, from ceremony chairs to linens, dinnerware, bar, tent and lighting, grouped by area with a count for each.

Most couples price the venue and caterer first and discover the rental list late. In the Chicago area that is a risk, because the best weekends from June through October fill up and a venue that "includes tables and chairs" often means plain ones. This checklist walks the whole wedding in the order your guests experience it, so you can see what is covered and what is missing before you request a quote.

Ceremony

  • Guest chairs: one per guest, plus a few for elders who arrive late. A garden folding chair or a cross-back chair works on grass; see ceremony vs reception chairs.
  • Front row: two or three upholstered chairs for parents and grandparents.
  • Aisle runner, arch or chuppah, and a signing table with two chairs.
  • A small table for programs or a memorial photo.

Cocktail hour

  • 1 highboy cocktail table for every 8 to 10 guests, with a cloth and a sash.
  • A few lounge pieces for people who need to sit. See lounge furniture for cocktail hour.
  • A bar front or two, and napkins by the bar.

Reception seating and tables

  • Chairs: one per guest, plus 2 to 5 for spares. Count the head table or sweetheart table separately. Our how many chairs guide shows the math.
  • Guest tables: 60-inch rounds seat 8, 72-inch rounds seat 10. Our table count guide has the quick table.
  • Support tables: cake, gifts, guest book, escort cards, DJ, dessert, coffee.
Item How to count it Easy to forget
Guest chairs 1 per guest + 2 to 5 spares Kids' chairs, vendor seats
Guest tables Guests divided by 8 or 10 Head or sweetheart table
Support tables 6 to 8 at 150 guests Gift, cake, DJ, coffee
Floor cloths 1 per table + 2 spares Bar fronts
Napkins 1 per guest per course + extras Cocktail hour napkins

Linens and napkins

One floor-length cloth per table, sized to the table. See the tablecloth size chart. Add napkins for dinner and a second set for cocktail hour, runners if you use long tables, and chair sashes if the chair needs help.

Dinnerware, flatware and glassware

Count by course. A plated three-course dinner needs a dinner plate, salad plate, bread plate and dessert plate per person, and the matching forks, knives and spoons. Glasses depend on the bar: water, wine, champagne for the toast, and cocktail or rocks glasses. Your caterer may supply some of this, so ask which pieces are already included before you rent. For counts see how many plates per guest and how many glasses per guest.

  • Tent or clearspan for outdoor receptions, with sidewalls and flooring. See what size tent and the Chicago tent permit guide.
  • Lighting and power: string lights, uplights, a generator if the site has little power.
  • Dance floor sized to the guest count.
  • Restrooms if the site has none.
  • Coat racks for fall and winter weddings.

Mistakes to avoid

  1. Counting guests once. The ceremony, cocktail hour and dinner may each have a different count because of kids, vendors and plus-ones.
  2. Assuming the venue includes it. Ask whether "included" chairs are the style you want. See venue chairs vs rented chairs.
  3. Forgetting delivery access. Stairs, elevators and loading docks in Chicago high-rises and historic buildings change how many crew members and carts are needed.
  4. Ordering by price per piece only. Delivery, setup, breakage and pickup times matter as much.

Frequently asked questions

What do I need to rent for a wedding?

At minimum you need chairs, tables, linens and napkins for guests. Most weddings also rent dinnerware, flatware, glassware, bar equipment and either a tent or specialty furniture. Your venue and caterer decide which of these are already included.

How many chairs do I need for a wedding?

Plan one chair per guest for the ceremony and one per guest for the reception, plus 2 to 5 spares. If the ceremony and reception happen in the same room, you may flip the same chairs, which saves money.

How far ahead should I book wedding rentals?

Book as soon as you have a venue and a rough guest count, especially for summer and fall Saturdays. See our timeline for booking wedding rentals for what to book when.

Does the caterer provide rentals?

Sometimes. Many Chicago-area caterers supply plates, flatware and glassware as part of the package, and some include tables and linens. Ask for a written list of what is included so nothing is rented twice.

How many extra tables do I need beyond guest tables?

For a wedding of about 150, plan six to eight support tables for the cake, gifts, guest book, escort cards, DJ, dessert and coffee. Smaller weddings need fewer, but almost every wedding needs at least a cake and a gift table.

Can one company handle the whole list?

Chair rental is our specialty, and on a planning call we help you map the full list of tables, linens, dinnerware, glassware, tents and lighting in one pass so nothing falls through. Starting April 2027, our Founding Season begins deliveries across Chicago and the suburbs.
