Charity Gala Rental Checklist: Everything to Rent for a Fundraiser
A complete charity gala rental checklist with counts for chairs, tables, linens, dinnerware, bar, auction and stage items, plus a Chicago-area timeline.

Committees for charity galas usually start with the mission, the speaker and the auction. The rentals come last, and that is when a volunteer discovers nobody counted the registration tables, the coat racks or the napkins. This checklist works from the guest count outward so nothing falls through. It fits a 100-person dinner in a church hall as well as a 400-person ballroom night in downtown Chicago.
The seven rental groups
| Group | What to list | How to count |
|---|---|---|
| Seating | Guest chairs, VIP chairs, stage chairs, lounge seating | 1 per guest + staff + about 5% spare |
| Tables | Dinner rounds, registration, auction, bar, gift, DJ | Guests / 8 or 10, plus 6 to 10 utility tables |
| Linens | Floor-length cloths, runners, napkins, skirting | 1 cloth per table + spares; 1 napkin per guest per course |
| Dinnerware | Plates, bowls, flatware, bread plates, dessert | Per course the caterer serves |
| Glassware and bar | Water, wine, champagne, rocks, bar tools | See your bartender's count |
| Auction and registration | Display tables, easels, bid sheets, risers, lockable cash table | Depends on item count |
| Stage and AV | Riser, podium, mics, screen, lighting | Ask the venue what is built in |
Seating: the biggest line
Count every guest ticket, then add the people the ticket count misses: speakers, honorees, sponsors' staff, volunteers who sit down for dinner and any photographer who needs a seat. Rounds of 10 are the most space-efficient, but a table of 8 gives sponsors more room and is easier to serve. See how many chairs you need for a count by zone, and gala seating beyond the banquet chair for style options.
Tables and linens
A 150-guest dinner with 15 rounds of 10 also needs registration, silent auction, a bar front or two, a dessert table, a gift or giveaway table and a DJ or band table. That is a lot of cloths. Read the tablecloth size chart before you order and remember that auction tables benefit from a black or neutral cloth so bid sheets and item cards stay readable.
Dinnerware and glassware
Ask your caterer what they bring. Many caterers supply plates and flatware, and some do not supply glassware or linens. A plated dinner usually needs a dinner plate, salad or appetizer plate, bread plate, dessert plate, and a fork, knife and spoon per course. Count glasses by what will be poured: water, wine, champagne for the toast and coffee cups. Our place setting diagram shows the layout.

Silent auction tables work best along a wall, at counter height, with a 6-foot table for every 8 to 12 items. Keep walkways open so bidders can stand without blocking the bar. If the event raffles tickets, Illinois regulates raffles and many counties and municipalities require a local license; ask your county clerk or village before you advertise one.
Chicago-area logistics for a fundraiser
- Load-in windows. Downtown buildings often assign dock times. Plan delivery before the venue's own setup crew needs the room.
- Winter coats. From November through March, a coat check is part of the rental list.
- Parking and valet. Suburban banquet halls rarely need rentals for parking, but a covered drop-off area with a few lounge pieces improves arrivals.
