Outdoor Corporate Summer Party in Chicago: Rentals and Layout
Plan an outdoor company summer party in Chicago with shade, seating, lounge, bar and games, plus counts for 75 to 250 guests and a weather plan.

A summer party is easy to love and easy to underbuild. The patio is beautiful at 6 pm and miserable at 2. The thunderstorm that was not in the forecast arrives at 7:15. The goal is to give guests places to sit in shade, a way to stay hydrated and a plan that survives weather. This guide is for a rooftop, courtyard, park or corporate campus in the Chicago area.

| Guests | Chairs (55%) | Cocktail tables | Dining tables | Shade |
|---|---|---|---|---|
| 75 | 40 | 6 | 5 to 6 | One 20 x 40 tent |
| 150 | 85 | 12 | 10 to 12 | 30 x 60 tent + umbrellas |
| 250 | 140 | 20 | 18 to 20 | Two tents + umbrellas |
Planning ranges. Parks, rooftops and campuses limit what can be set up, so confirm before you order.
Heat and comfort
Chicago summers can be hot and humid, and lake breezes help only near the shore. Offer shade for seating, cold water at multiple stations and fans or misters where power and water are allowed. Keep food out of the sun and use ice for cold items. Plan shorter outdoor programs in the hot afternoon and longer ones in the evening. See cooling a tent in summer and market umbrellas for shade.

Chairs and surfaces
Chairs sink in grass. Garden folding chairs and rattan chairs work on lawns, though heavier chairs need a firm surface. On a rooftop or patio, choose wind-resistant chairs and avoid anything light enough to blow away. Cross-back chairs feel at home at a garden party. See outdoor events in Chicago in July for month-specific planning.
The weather plan
Summer storms in the Midwest can form quickly. Make a plan in writing: who watches the radar, what the cutoff for moving inside is, where guests go and who moves the food. A tent with sidewalls is the best insurance, and a venue with an indoor backup is better. Never ask guests to shelter under a tent in lightning; tent installers can advise on wind and storm limits. Have staff trained on evacuation, and keep chairs light enough to move fast.
Games, music and the quiet zone
Company parties include people who want to play and people who want to talk. Put lawn games, a DJ or a band on one side of the site and a lounge with sofas or shaded chairs on the other, with at least 40 to 50 feet between them if the site allows. Keep the volume low enough to hold a conversation near the bar, and check local noise rules for amplified music, which differ by village and park district. A shaded kids area, if families attend, should be visible from the adults' seating but away from the grill and the bar. Provide a first-aid kit and name a person who knows where it is.
Food safety in the heat
Cold food needs ice and hot food needs heat sources, and neither should sit in the sun. A general rule from food safety guidance is to keep perishable food out of the temperature danger zone and to limit time on the table; ask your caterer for their plan and rent extra tables with shade for the food line. Refresh ice often, serve in small batches and keep a separate cooler for drinks so the food coolers stay closed.
Lighting and sunset
Evening lighting extends the party. Use string lights, lanterns or low uplights, and ensure power is available. Check the sunset time for your date from a reliable source, such as the National Weather Service, and time the toast and any photos for golden hour. Bugs rise at dusk, so consider citronella-free solutions such as fans and covered food.
Permits and rules
Public parks and rooftops each have rules about tents, alcohol, music and generators. We have not verified rules for any particular site, so check with the park district, building manager or village. Fireworks and open flames have strict rules in most places.
Food and drink
Cold drinks disappear fast in summer. Plan more water, iced tea and non-alcoholic choices. Put the bar in shade with ice storage and keep trash and recycling stations near. See how much ice for a party for an ice estimate.
