December in Chicago means coats, snow on the shoes and every restaurant, hotel and banquet hall booked for the same Thursday and Friday nights. A holiday office party in your own space or in a rented hall comes down to three questions: sit-down or standing, who serves the food, and where do 80 winter coats go. The answers decide the rental list.

Pick the format first

Format Seats vs headcount Tables Good for
Plated dinner 100% Rounds of 8 or 10 Executive events, awards, 80+ guests
Buffet dinner 100% Rounds + buffet tables Casual dinner, mixed ages
Cocktail party with stations 50 to 60% High-tops + a few lounge seats Offices under 100, mingling
Office lunch or potluck 70 to 80% 6 ft tables + food table In-office, tight budget

A cocktail reception with high-top tables and a few lounge groupings is the lowest-effort format, but it fails if people stand for four hours. Always offer seating for at least half of the guests.

Layout for 100 employees

The coat check problem

From November through March, a winter party needs somewhere for coats. Leaving them on chairs takes 20 to 30% of your seating out of use. A rolling garment rack holds roughly 40 to 50 coats at party density, depending on how many hangers you have and how bulky the coats are, so 100 guests need two or three racks and a volunteer. Place the rack just inside the door and keep it visible. Ask your venue whether it provides a coat room before you rent anything.

Tables, chairs and linens that look festive

  • Linens: floor-length cloths in deep green, burgundy, ivory or black keep the look simple. Add a runner in metallic for the holiday feel without buying decorations. See the tablecloth size chart.
  • Chairs: velvet dining chairs look warm in December. Ghost chairs make a small room feel larger.
  • Napkins: cloth napkins in a color that matches the linen look better than paper and cost little per guest in a rental order.
  • Lounge seating: two or three small groupings give quieter corners for conversation.

Food and drink gear

If a caterer is providing the meal, ask what's included. Many drop-off caterers leave food and serving pieces but not plates, flatware or glassware. For 100 people you'll want a cocktail plate and a dinner plate, forks and knives, and at least two glasses per person across the evening. See how many glasses per guest and how many plates per guest.

Budget the party without cutting the experience

The cheapest way to make an office party feel generous is to spend on what guests touch: the chair they sit in, the glass they hold and the napkin in their lap. Banquet-grade disposable plates and cups can look flat under holiday lighting, while a simple white plate and real glassware lift the same catering. If budget is tight, rent real glassware and cloth napkins, and use the venue's tables with cloths. Ask for a quote with and without each category so you can see where the money goes. We do not publish prices for tables, linens or dinnerware, so a quote with your headcount is the only reliable number.

Entertainment and quiet corners

Holiday parties mix people who love a dance floor with people who want to leave at 7. Build both: a music area with a few high-tops nearby, and a quieter lounge with two or three sofas or chairs away from the speakers. A white-elephant or awards moment needs a small riser or a table at the front so the whole room can see. Keep a clear path from the bar to the exit so departures don't block the room.

Chicago-specific

December parties compete with the same venues and caterers as weddings in November and New Year's Eve. Snow and ice change the delivery schedule, so choose a delivery window the afternoon before, not the morning of, when an office won't be locked. If you host in a leased office, ask building management about freight elevator reservations and certificate of insurance requirements; see the COI and vendor requirements guide.

Frequently asked questions

How many chairs do I need for an office holiday party?

For a sit-down dinner, one chair per guest. For a cocktail party, about 50 to 60% of the headcount, with the rest standing at high-top tables.

How many coat racks do I need?

One rolling rack per 40 to 50 guests is a good planning number. If coats are bulky, add a rack.

Should I rent high-top tables for a holiday party?

Yes, if you are hosting a standing reception. Plan one 30-inch cocktail table per 6 to 8 guests with a few stools or lounge seating.

When should I book holiday party rentals in Chicago?

By early October for the first three weeks of December. Late bookings are possible but limit your options.

Can I host a holiday party in my office?

Often yes, but check the lease for event rules, freight elevator hours and the insurance certificate your building requires.

What if the weather turns bad?

Plan delivery a day earlier, use mats at the door, and have staff for wet floors. Do not set up a tent in snow unless the installer confirms it is safe.
