Team Building Outdoor Event Rentals: What to Rent in Chicago
Plan an outdoor team building day with the right tents, tables, chairs and activity stations, plus layouts and counts for 30 to 150 employees.

Outdoor team building days look simple: a park, some games, lunch. The ones that go wrong have no shade, no place to sit between activities and a food line that eats an hour. The ones that go right are organized into stations with a home base for each team. Here is how to plan the rental list for a Chicago-area forest preserve, park district shelter or corporate campus.
Base camp and stations
The base camp holds a tent, tables with water and snacks, a few chairs and a sign-in board. It is the one place every group passes. Hang a large clock or a schedule there.
Rental counts
| Group size | Tent | Chairs | Tables | Activity canopies |
|---|---|---|---|---|
| 30 | 20 x 20 ft | 15 to 20 | 3 to 4 | 2 |
| 60 | 20 x 30 ft | 30 to 40 | 6 to 8 | 3 to 4 |
| 100 | 30 x 40 ft | 50 to 60 | 10 to 12 | 4 to 5 |
| 150 | 30 x 60 ft | 75 to 90 | 14 to 16 | 6 |
Seats for half the group at once is the usual rule: most people are doing something. Use garden folding chairs for base camp and lunch. For a more upscale executive day, cross-back chairs at the lunch tent feel less like a gym.

Activities and gear
Most activity providers bring their own props. Ask them what they need from you: tables, chairs, canopies or power. Typical needs include 6-foot tables for puzzle tasks, a few chairs for judges, a canopy for supplies and a mic for the facilitator. Keep supplies off the grass with a table or a tarp.
Lunch
Choose a lunch format that moves quickly: boxed lunches, a taco bar or a sandwich buffet with two sides. A 6-foot buffet table with access on both sides serves about twice as fast as one side; see buffet line flow and serving speed. Seat teams together at 8-foot tables so conversation continues. Place drinks in a separate station and use real cups where possible to reduce waste.
Heat, rain and bugs
Summer in Chicago brings heat, humidity and sudden thunderstorms. Your plan should have shade over every sitting area, water at every station, and a clear plan to move to a shelter if lightning approaches. Fans and misters make a difference in July; see misting and shade for summer events. Provide sunscreen, bug spray and first aid. A weather call by a named person with a known cutoff time avoids last-minute confusion.
Site and permit questions
Parks, forest preserves and corporate campuses each have different rules for tents, vehicles, grills and alcohol. We haven't verified rules for specific sites, so ask the site manager about permits, load-in routes, stakes and generators. Ask whether a certificate of insurance is required; see corporate event COI and vendor requirements.
Facilitators, judges and the sound problem
Outdoor groups spread out and voices get lost in wind. If a facilitator gives instructions to 60 or more people, plan a portable speaker and a wireless mic, and ask the park about noise rules. A table with a cloth near the start line holds scoreboards, prizes and sign-in sheets. Judges need a chair, a clipboard and shade, so count them in your chairs. Photographers and the event lead should wear bright shirts so teams can find them. Keep a small group of spare chairs and a folding table in a vehicle or at base camp for the unexpected, such as an extra station or an injured participant who needs to sit.
Inclusion
Choose activities that everyone can join: seated options, low-mobility roles and non-competitive tasks. Provide a chair at each station for anyone who needs it. Check dietary needs for lunch. Keep a quiet corner at base camp for anyone who needs a break.
