Company picnics succeed when people can eat in the shade, find a seat without a fight and walk to the food without standing in the sun. They fail when 150 employees and families arrive to a park shelter with 40 seats. This guide gives you counts for a typical Chicago-area picnic, a layout that works in a forest preserve or suburban park, and the permit questions to settle before you rent anything.

Seating: plan for half the group

At a casual picnic guests move around, play games and take food back and forth. A good starting point is seats for 50 to 60% of the headcount, plus lawn space for the rest. Families with young children need more seats per head, because kids rarely sit alone at a table.

Headcount Chairs (about 55%) Tables Tent or shade
50 28 4 to 6 (6 ft or 8 ft) One 20 x 30 ft tent or 2 canopies
100 55 8 to 10 One 30 x 40 ft tent, or two 20 x 30
150 85 12 to 14 30 x 60 ft tent, or two 30 x 40
200 110 16 to 18 40 x 60 ft tent, or multiple tents
300 165 24 to 28 40 x 80 ft clearspan or several tents

These are planning ranges, not rules. Tent size depends on how you use the space, so see what size tent do I need.

The layout that works

Company picnic layout A top-down picnic layout with the entrance at the left, a registration table, a food line in the center with two serving sides, seating tent to the right, a lawn games area at the top and a kids zone at the bottom. Gate Check-in Food line Seating tent Lawn games Kids zone Drinks + trash
Put food between the entrance and the seating so guests carry plates a short distance, not across the lawn.
  • Food line: a buffet table with serving access from both sides serves about twice as fast as one side. See buffet line flow.
  • Drinks away from food: put beverage stations in a second spot so the line doesn't block.
  • Trash and recycling: one station per 50 guests, near the seating, not at the food.
  • Kids zone: keep it visible from the seating but away from the grill.

Shade and weather

July and August picnics in Chicago can be hot and humid, and a pop-up thunderstorm can arrive in minutes. A tent is shade first and a rain plan second. For anchoring, tent installers use stakes on grass and ballast where stakes can't go; ask your tent provider and the park what is allowed. Read outdoor event chairs and Chicago weather for the seat side of the plan.

Chairs and tables for grass

Folding chairs work on lawns but can sink where legs are narrow. Garden folding chairs are a simple option for grass. Place a few lounge pieces or high-top cocktail tables near the bar for adults who want to stand. For long family tables, 8-foot banquet tables with bench-style seating or chairs along both sides seat 8 to 10. If you prefer picnic tables, ask what's already at the park before renting more.

Permits and park rules

Many Chicago-area picnic spots are Chicago Park District parks, forest preserve district groves or suburban park district pavilions. Each has its own permit, its own list of allowed vehicles, tent and alcohol rules, and its own insurance requirement. We have not confirmed the rules for specific sites, so check with the district or preserve you plan to use and ask about delivery vehicles, tent stakes, generators and grills. Our Chicago tent permit guide covers tent permits.

What to forget least

Hand-washing stations, a first-aid kit, extension cords if permitted, a lost-and-found table and shade for the check-in volunteers. A few extra chairs by the entrance help older employees and parents with babies.

Frequently asked questions

How many chairs do I need for a company picnic?

About 50 to 60% of the headcount, since people mix and eat in turns. Add more if many guests are families with young children or older relatives.

Do I need a tent for a company picnic?

If the picnic is in summer sun or there is any chance of rain, yes. Even one tent gives guests a place to eat in shade.

How many tables for 100 employees?

About 8 to 10 banquet tables for seating, plus 2 to 3 for food and drinks. Rounds of 60 inches seat 8 for a more social layout.

What size tent for 100 guests?

A 30 x 40 foot tent is a common choice for seated service for 100 at round tables, and larger if you add a buffet inside. Ask for a tent installer's layout.

Do I need a permit for a company picnic in a park?

Usually you need a shelter or event permit from the park district or forest preserve. Rules differ by site, so confirm directly.

Can the rentals be delivered to a forest preserve?

It depends on the site's vehicle access and permit. Ask the preserve district about delivery times and where trucks may park.
