A mirror seating chart is a large mirror with guest names and table numbers written on it, in paint pen or vinyl lettering. Guests see their own reflection while they look for their name, and the mirror doubles as decor for the entrance. It is popular with Chicago couples who want a modern or glam entrance, and it comes with a few things to plan around: size, lettering, glare and a stable easel.

Mirror seating chart sizes Front view of three mirror seating charts: a 24 by 36 inch mirror for up to 50 guests, a 32 by 48 inch mirror for about 100 guests and a 36 by 60 inch mirror for 150 guests or more, with a person for scale. 24 x 36 in 50 guests 32 x 48 in 100 36 x 60 in 150+
Bigger guest lists need bigger mirrors so names stay readable from 3 feet away.

Pick the size from the guest count

The mirror has to hold every name at a readable size. Names written about 1 inch tall are readable from about 3 feet, so you can calculate space by counting names. A mirror with 36 x 60 inches of glass can hold roughly 150 to 200 names in a clean layout, depending on the lettering and whether names are grouped by table.

Guests Mirror size Layout Notes
Up to 50 24 x 36 in Names by table, 2 columns Table-top or small easel
Around 100 32 x 48 in Names by table, 3 or 4 columns Floor easel
150 or more 36 x 60 in 4 to 6 columns Heavy, needs two people
200+ Two mirrors Alphabetical halves Split the line

These are planning sizes. Confirm the dimensions and weight with the rental company.

Layout styles

  • By table: table number as a heading, names listed under it. Easier to read when guests know their table is being found.
  • Alphabetical: guest names in alphabetical order with the table number next to each. Best for 150 or more, because guests search by their own name.
  • Meal choice markers: a small symbol next to each name works if you serve plated dinners.

Lettering: paint pen or vinyl

Paint pens give a handwritten look and are easy to fix with a damp cloth when the ink is fresh. Vinyl letters look crisp and can be done in advance, but they take longer to apply and can be hard to peel off glass. If the mirror is a rental, the company may restrict permanent lettering, so ask which method is allowed. Test any marker on a small corner. Some paint pens leave a ghost mark if left on for days.

Placement and lighting

  1. 1Step 1Place it near the entrancebut not in the doorway.
  2. 2Step 2Avoid direct lightfrom windows or spotlights, which can cause glare.
  3. 3Step 3Tilt slightlyon the easel so it does not reflect the ceiling lights.
  4. 4Step 4Add a clip lightor soft uplight on the side for dim rooms.
  5. 5Step 5Anchor itwith a sturdy easel or a stand, especially outdoors.
Place it near the entrance, then Avoid direct light, then Tilt slightly, then Add a clip light, then Anchor it

Safety and outdoors

Large mirrors are heavy and can shatter if they fall. Never lean one against a wall with nothing to hold it. Outdoors, wind can topple an easel or blow a mirror over. Use a heavy base, weights and a sheltered spot. Ask your rental company about their stand, and whether they offer a protective back. In a park or forest preserve, ask the district what is allowed.

Alternatives

If a mirror is too heavy or costly, consider these options:

  • Acrylic panels that look like mirrors or glass but are lighter.
  • Chalkboards for a rustic look.
  • Hanging seating charts with cards on strings or hooks, which look good against a drape.
  • Table-top frames for small guest lists.

See our signage and easels guide for easel heights and placement, and centerpiece risers and stands for more reflective decor ideas.

Style pairings

A mirror suits a clean entrance with a flower arrangement. Pair it with a Louis medallion or infinity chair for glam, or a bentwood chair for a softer feel. For a full welcome area, add a welcome sign and a guest book table.

Mistakes to avoid

  • Writing names too small to read.
  • Placing the mirror in direct sunlight where glare hides the names.
  • Leaving the mirror on a flimsy easel.
  • Writing the chart before the guest list is final. Wait until the last RSVP week.

Frequently asked questions

What size mirror do I need for a seating chart?

About 24 x 36 inches for 50 guests, 32 x 48 for around 100 and 36 x 60 for 150 or more. Use two mirrors for 200 or more.

Can I write on a rental mirror?

Often with a paint pen that wipes off, but ask the rental company first. Test a small corner.

How do you avoid glare on a mirror sign?

Place it away from windows and spotlights, tilt it slightly and add soft side light.

Should a mirror seating chart be alphabetical?

For 150 or more guests, yes, because guests search by their own name. For smaller lists, by-table works.

Is a mirror seating chart heavy?

Yes. Large mirrors can weigh a lot and need two people to carry and a sturdy easel. Ask for the weight.

What can I use instead of a mirror?

Acrylic panels, chalkboards, hanging card displays or framed table-top charts all work.
