A ceremony needs far fewer items than a reception, but they are easy to forget because they live at the edges: a place for the officiant to stand, something to sign on, a way to keep programs dry. This checklist covers the rental items most Chicago-area ceremonies use, with the questions that matter for each.

Ceremony layout with decor rental positions Top-down ceremony: an arch with a flower wall behind it at the front, a signing table at the side, chairs in two sections with a center aisle and runner, a welcome sign and guest book table at the entrance at the bottom. Everything a ceremony rents sits on one line: front, aisle, rows and entrance.

Count the chairs carefully

The rule of thumb is one chair per guest plus a few spares for the wedding party and the elderly. Many planners add 5 to 10 percent extras. Read how many chairs you need and ceremony vs. reception chairs for the details. If the ceremony and reception are in the same room, ask about the flip: the crew has to move chairs, usually during cocktail hour.

Outdoor ceremony extras

Outdoor ceremonies in the Chicago area need more than chairs. Check these items:

  1. Shade. Umbrellas for the first rows in summer, and ask guests to bring hats.
  2. Wind. Weights for arches and signs.
  3. Sound. A speaker and a mic, because vows do not carry on a lawn.
  4. Restrooms. Close and clearly signed.
  5. Rain plan. A tent, a covered patio or an indoor option. Decide the call time ahead.

Style choices that matter in photos

The chair you pick will be in every ceremony photo. A white garden folding chair is quiet and affordable, a cross-back suits barns and gardens, and a clear ghost chair works in a formal room. Pair with a round, hexagon or square arch and an aisle runner.

What is not in this list

Florals, officiants, music, marriage license and the venue's own policies are not rentals, so ask your planner or venue. We do not stock non-chair items ourselves yet, but we help plan the full rental list so the pieces come from the right sources.

Mistakes to avoid

  • Forgetting the signing table until the morning of.
  • Choosing an arch that blocks the sun on the couple's faces.
  • No rain plan for an outdoor ceremony.
  • Assuming the venue provides chairs for the ceremony.

Frequently asked questions

What do I need to rent for a wedding ceremony?

Chairs, an arch or backdrop, an aisle runner, a signing table and two chairs, a welcome sign and easel, plus sound and shade if outdoors. Add heaters or umbrellas based on the season.

How many chairs do I need for a ceremony?

One per guest plus a few spares, and extra for the wedding party if they will sit. Many planners add 5 to 10 percent.

Do I need a signing table?

Only if you plan to sign the marriage license during the ceremony. A 4 to 5 foot table and two chairs is typical. Check your officiant for requirements.

What should I rent for an outdoor ceremony?

Add shade, a sound system, weights for signs and arches, and a rain plan such as a tent or indoor flip. Check wind, temperature and the venue's rules.

Can ceremony chairs be reused for the reception?

Often yes, if the ceremony and reception are in the same space. Ask about flip time and crew.

When should I book ceremony rentals?

As soon as you have a date and venue. Popular dates fill, especially for ceremonies in May through October.
