A grill turns a backyard party into an event, and for a crowd it needs to be bigger than the one on your patio. The decisions are simple but the stakes are practical: where it goes, what fuel it burns, and who stands behind it. This guide covers sizing, fuel and safety for Chicago-area events.

Pick the grill by crowd size

Grill size versus burgers cooked at once Bar chart of grill widths and burgers per batch: a 24 inch grill cooks about 16, a 36 inch about 30, and a 48 inch about 45, with matching guests per hour. 163045 24 in36 in48 in Approximate burgers per batch by grill width
Burger counts are approximate: about 1 burger per 12 square inches of surface.

The rule of thumb: a burger needs roughly 12 square inches of grate. A 36 x 24-inch grate is 864 square inches, which fits around 30 to 36 burgers if you leave room to flip. At 8 to 10 minutes per batch, that is roughly 150 to 200 burgers an hour, which is far more than you need. In practice, the limit is the cook and the resting space, not the grate.

Guests Grill width Cooks Resting and holding
25 to 40 24 to 30 in 1 One chafer or foil pan
50 to 100 36 in 1 or 2 2 chafers
100 to 200 48 in or two 36 in 2 3 to 4 chafers
200 plus Trailer or multiple units 2 to 3 Caterer holding oven

Propane or charcoal

  • Propane: Instant heat, adjustable, easy to turn off and usually permitted. A 20-pound tank gives several hours of cooking on a typical grill. Bring a spare tank.
  • Charcoal: More flavor but slow to start, harder to control, and generates embers that need disposing of. Many parks restrict where coals can be dumped.
  • Natural gas hookups: Not common at rental sites.
  • Electric grills: Weaker flavor but allowed in places with open-flame restrictions.

Ask the rental company what they supply and who sets up the tank. Never connect or move a tank yourself without training.

Safety rules

  1. 1Step 1Place the grill outside,on level ground, away from tent walls.
  2. 2Step 2Keep 10 feetfrom buildings, fences, trees and tents, or follow the manufacturer's clearance.
  3. 3Step 3Keep guests backa rope or a table 4 to 6 feet away.
  4. 4Step 4Have a fire extinguisherwithin reach, and know how to use it.
  5. 5Step 5Cook meat to safe temperatures165 F for poultry and 160 F for ground beef, per USDA guidance.
Place the grill outside,, then Keep 10 feet, then Keep guests back, then Have a fire extinguisher, then Cook meat to safe temperatures

Never use a charcoal or gas grill inside a garage or a tent. Carbon monoxide builds up quickly. If your tent company allows a grill nearby, they will give you the clearance in writing. Ask before the day.

Rules in Chicago and the suburbs

Rules differ by village and by park district. Many park district shelters allow grills in designated spots only, and some ban open fires and charcoal. Condo and HOA buildings often prohibit grills on balconies. A venue may require its own caterer to do the cooking. Check with your village hall, park district and building manager, and put the answer in writing. We cannot verify every local rule, so your village is the final word.

Set up the cooking station

Plan these around the grill:

  • A prep table for raw meat, separate from the serving table
  • A separate cutting board and tongs for raw and cooked food
  • A cooler for raw meat, kept at 41 F or below, see keeping food cold
  • A holding pan or chafer for cooked food, see keeping food hot
  • Hand wash or sanitizer, aprons and trash
  • Lighting for evening cooking, see lighting and power

Seating and layout

Put the grill downwind of guest tables and tents. In Chicago, the prevailing wind often comes off the lake from the east, but this varies by day, so watch the smoke. Keep the grill and prep area on a driveway, patio or flat gravel, not on dry grass. Place seating at least 15 to 20 feet away. For ideas on casual seating, see outdoor event chairs.

Frequently asked questions

What size grill do I need for 100 guests?

A 36 or 48-inch grill with one or two cooks. Count on about 3 to 4 pounds of cooked meat per 10 guests, and add a chafer or warming oven to hold finished food.

Is propane or charcoal better for events?

Propane is easier to control and allowed in more places. Charcoal gives more flavor but needs ash disposal and more time to heat.

How far should a grill be from a tent?

At least 10 feet, or whatever distance your tent company and the grill maker require. Never grill inside or under a tent.

Can I rent a grill for a park district shelter?

Maybe. Many park districts allow grills in certain places only, so ask before you book. Rules differ by district.

What temperature should chicken reach?

165 degrees F internal temperature. Ground beef should reach 160 degrees F. Use a probe thermometer.

Who should run the grill?

One experienced person per grill. A cook can handle 40 to 60 guests an hour, and a second person helps with plating and food safety.
