Wedding Cocktail Hour Rentals: Tables, Lounge and Bar
What to rent for a wedding cocktail hour in the Chicago area: highboys, lounge seating, bar fronts, glassware and napkins, with counts and a floor plan.

Cocktail hour is the first hour guests are mixing, and the one that sets the mood while the room flips. It is also the hour when rentals matter least to photos but most to guests: where can I put my drink, where can I sit, and where is the bar? The Chicago couples who plan this well rent fewer pieces than they expect and place them better.
What guests actually do
People stand to mingle but want a surface within arm's reach and a seat for a few minutes. A good cocktail hour offers three modes: standing at highboys, sitting in small groups, and moving to a bar or food station.
The rental list
Highboy cocktail tables. About 42 inches tall and 30 to 36 inches across, they seat nobody and hold plates and drinks. A common ratio is 1 per 8 to 10 guests. For 120 guests that is 12 to 15 tables. See cocktail highboy vs lowboy tables.
Linens. A 120-inch round cloth tied at the waist, or a fitted spandex cover. See the tablecloth size chart.
Seating. Provide seats for about a quarter to a third of guests. Seniors and guests with heels will thank you. Use lounge sofas and a few bentwood bistro chairs or rattan garden chairs in small groups. See lounge furniture for cocktail hour.
Bar. A bar front (or two), back-bar tables, glassware, ice tubs, a trash can and napkins. Count glasses with how many glasses per guest. Illinois alcohol rules for private events vary by situation, so confirm with your caterer or bartending provider who holds the liquor license.
Food. Passed hors d'oeuvres need small plates and napkins. A station needs tables, chafers and signs. The food station equipment guide lists common items.
Extras. A welcome sign, a guest book table, a photo spot, a small trash and recycling setup and, in winter, a coat check.
| Item | Rule of thumb | Example for 120 guests |
|---|---|---|
| Highboy tables | 1 per 8 to 10 guests | 12 to 15 |
| Seats | 25 to 33% of guests | 30 to 40 seats |
| Bar fronts | 1 per 75 to 100 guests | 1 to 2 |
| Floor area | 6 to 8 sq ft per guest | 720 to 960 sq ft |
| Cocktail napkins | 3 to 4 per guest | 360 to 480 |
These are planning numbers, not rules; ask your caterer about the real service style.

Indoor, outdoor and Chicago weather
An outdoor cocktail hour on a terrace or lawn needs shade in July and heat in October. A tent edge, patio heaters or umbrellas help. For indoor spaces in a Chicago hotel or loft, check elevator and loading rules for furniture. Cocktail hour is also where the ceremony space often flips; if so, plan a quick switch with the crew. A little rain on a patio can push the whole hour inside, so keep a backup room.
Making the hour feel finished
A few small choices make cocktail hour look planned. Use a consistent linen color across highboys, a small candle or bud vase on each so tables are not bare, and a sign that names the signature drink. Keep trash cans out of sight but reachable, with one near every food station, because empty glasses pile up fast. If a photographer needs the room for portraits, tell the rental crew so tables are placed with that in mind.
For winter weddings in Chicago, a coat check or racks near the entry prevents a pile of coats on lounge sofas. For summer, shade and cold water are the equivalent. Neither costs much and both change how guests remember the hour.
