Wedding Rentals Timeline: When to Book Each Rental
A month-by-month wedding rentals timeline for Chicago couples, from 12 months out to the final headcount, showing when to book chairs, tables, linens, tents and more.

Rentals feel like a last-minute task because they depend on the final guest count. But the most important choices, like which chair, whether you need a tent and who delivers, are made months earlier. Here is a timeline that works for most Chicago-area weddings, with a note on what changes for peak dates.
The timeline at a glance
12 months out: venue and structure
After the venue and date are set, ask what is included. Tables and chairs are often supplied, and sometimes not. If you plan a tent, ask your venue and your village about permits and set a tentative date for a site visit. Tent crews and lighting companies book the most popular dates first. See what size tent do I need and the Chicago tent permit guide.
9 to 12 months out: chairs and tables
Pick a chair style and a table plan. Peak Saturdays in June, September and October are the first to go, and specialty chairs (velvet, Louis, throne) have limited quantities. Reserve with a deposit if the company offers one. Our guide on when to book event chair rentals in Chicago goes deeper on availability.
6 to 9 months out: linens, tableware, glassware
Choose linens and napkins after you know your table sizes and palette. Ask your caterer what dinnerware and glassware they provide. Order samples if you can. See the tablecloth size chart and how many glasses per guest.
3 months out: floor plan
Create a floor plan with the venue showing the ceremony, cocktail hour, dinner, bar, dance floor and support tables. Include doors, columns and the loading route. This is the best time to find that a 72-inch round won't fit or that the bar belongs on the other wall.
| When | Book or decide | Why now |
|---|---|---|
| 12 months | Venue, tent, dance floor, lighting | Limited supply on peak dates |
| 9 to 12 months | Chair style, table plan | Specialty items sell out |
| 6 to 9 months | Linens, china, glassware | Color matching, samples |
| 3 months | Floor plan, power, restrooms | Layout drives counts |
| 1 month | Final guest count, delivery times | Venue and vendors need numbers |
| 1 week | Delivery windows, contact names | Day-of surprises |
1 month out: final count
Most rental companies need a final count 2 to 4 weeks before the date, with a deadline after which changes cost more or are not possible. Confirm what the count includes: guests, vendors, kids, head table and spares.

What to bring to every vendor call
Keep one shared document with your date, venue address, guest count range, ceremony and reception start times, the loading route, and the venue contact. Add the floor plan as soon as you have one. Vendors can only quote well if they know about stairs, elevators, gravel parking lots and the time the room becomes available. A short list sent once saves a dozen back-and-forth emails, and it keeps every vendor working from the same numbers when the guest count changes.
Also write down who has authority to approve changes on the wedding day. A planner, a parent or a friend should be the single contact for the rental crew, so the couple is not answering questions in their wedding clothes.
Short timelines
If the wedding is less than three months away, work in this order: venue details, chairs and tables, tent if needed, then linens and tableware. Call early and ask what is in stock for your date. Our last-minute chair rental guide covers the options. A shorter timeline mostly costs you choice, not quality.
