Tents force a layout decision that a banquet hall makes for you. There is no fixed bar, no stage and no built-in exit, so everything you add must fit in a rectangle. A good tent layout puts the dance floor at the heart, the bar on the edge and the food where the caterer can reach it. This guide shows a plan and the numbers behind it.

A sample floor plan for 100 guests

Floor plan of a 30 by 60 foot tent for 100 guests with dancing Top-down plan of a 60 by 30 foot tent. Ten round tables of ten sit on both sides of a central 16 by 16 foot dance floor. A DJ is at the left end, a bar at the lower right near the entrance, and the sweetheart table sits at the upper left. Dance DJ Bar 60 ft x 30 ft
Twelve round tables seat 100 to 120, with the dance floor central and the bar near an entrance.

Twelve 60-inch rounds seat 8 to 10 each. Count your tables from your guest list. The plan above shows 12 tables for roomy seating.

The numbers to plan with

Element Rule of thumb Notes
Dance floor 3 to 4.5 sq ft per dancer, for a third to half your guests 100 guests: about 16 x 16 ft
Round table (60 in) About 8 to 10 sq ft of table plus chairs; allow 10 to 12 sq ft per guest overall Chair backs need 36 in clear
Main aisle 5 ft Wider near the bar and exits
Bar About 8 x 12 ft with queue space One bartender per 50 guests is common; ask your caterer
DJ About 6 x 10 ft Needs power
Buffet 10 ft clear lane for the queue Access from both sides

Where each piece goes

Dance floor. Center it so the dancers are surrounded by guests and the DJ can see the whole tent. If the floor sits at one end, the far tables feel left out. Dance floors need a level base. See tent flooring and subfloors.

Bar. Put it near an entrance, so guests get a drink on the way in, and away from the dance floor so queues do not block dancers. A second bar by the dance floor helps for 150 or more guests.

DJ or band. Place them on a short end, facing the dance floor, and not next to a table of grandparents. Keep speakers off the walls so sound does not rattle the sidewalls.

Food. Buffets and stations need to be near the caterer's door or prep tent. Plan how the caterer's path avoids guests.

Head table or sweetheart table. Put it where everyone sees it. See sweetheart table chair ideas.

Keep exits and aisles clear

Fire codes ask for clear exits and aisles in tents. Northwestern University's tent safety guidance, for example, asks for aisles at least 36 inches wide with exits kept clear at all times. Chicago's permit process asks for egress details on the floor plan for tents over 600 square feet. Do not place a bar, a photo booth or a buffet in front of a door. See Chicago tent permits.

Cocktail hour and ceremony

If your ceremony and cocktail hour are in the same tent, flip the room: ceremony chairs first, then crews turn it into the dinner plan. That needs a crew and time. Many hosts hold cocktails outside the tent instead. See ceremony vs reception chairs.

Seating that fits the plan

Chairs set the feel and the footprint. A slim chair like a cross-back or garden folding chair keeps aisles open. Chairs with arms need more room, so allow extra space for velvet dining chairs. To size the tent for your own plan, read what size tent you need.

Frequently asked questions

Where should the dance floor go in a tent?

In the center, so guests surround it and the DJ sees the whole room. An end-of-tent dance floor works for small tents. It needs a level base.

How big should the dance floor be?

Plan 3 to 4.5 square feet per dancer and assume a third to half your guests dance at once. For 100 guests, a 16 x 16 foot floor is common.

Where should the bar go in a tent?

Near an entrance and away from the dance floor. That keeps lines out of traffic and lets guests get drinks as they arrive.

How much space do I need between tables?

Allow at least 5 feet for main aisles and about 36 inches between chair backs. More is better near the bar and exits.

Can the bar and kitchen be inside the same tent?

Bar yes, cooking no. Many codes keep cooking and open flame away from guest tents. Use a separate prep tent and ask your village.

How do I plan for 150 guests with dancing?

Plan about 2,250 square feet at 15 sq ft per guest, so a 30 x 60 tent is tight and a 40 x 60 (2,400 sq ft) is comfortable. Add a second bar.
