A stage or riser lifts a speaker, band, DJ or head table so the whole room can see them. Rental stages are modular decks, so choosing one is a matter of footprint, height and safety. This guide gives you the sizes and rules of thumb for galas, school events, church receptions and weddings around Chicago.

What a stage is made of

Most rental stages are built from rectangular decks, commonly 4 x 8 feet, that lock together and sit on adjustable legs. The legs set the height, so one deck system can be 8, 16, 24, 32 or 48 inches tall. Add stairs or a ramp, a skirt to hide the legs and rails where needed.

Decks are modular, so you build the footprint from 4 x 8 foot sections and pick a height for sightlines.

Pick the height first

Height Good for Notes
8 to 16 in Head tables, DJ, small band Small step, easy for guests
24 in Speakers, bands, ceremonies Needs stairs or a ramp
32 in Larger rooms, 150+ guests Rails or a skirt are common
48 in Big ballrooms, fashion shows Needs rails and a full safety plan

Rule of thumb: the farther the back row, the higher the stage. A 200-guest ballroom usually wants at least 24 inches so people in back can see.

How big should the footprint be?

Use these as starting points, then adjust for your lineup:

  • Podium and speaker: 8 x 8 feet
  • DJ with table: 8 x 8 to 8 x 12 feet
  • Four-piece band: 12 x 16 feet
  • Awards or fashion show: 16 x 24 feet or more with steps
  • Head table on a riser: length of the table plus 3 feet on each side, and 4 feet deep for chairs

Accessibility is not optional

Any stage that a guest, speaker or honoree will use should have a ramp. The ADA standard ramp slope is 1 inch of rise for every 12 inches of run, so a 24-inch stage needs a 24-foot ramp, with level landings. If you cannot fit that, ask whether a platform lift is an option or whether to lower the stage. Ask the rental company which ramp lengths it carries and whether the event needs to meet ADA accessibility standards.

The stage in a Chicago-area room

Ceiling height matters before you pick a stage. A 48-inch stage in a low basement banquet room feels like a trap for taller speakers, and lights on stands can hit the ceiling. Measure the ceiling, then add the stage height, the performer height and the light height. Check with your venue, since some require a certified installer for stages above a certain height.

Large ballroom stages are brought in through loading docks and elevators. Decks are heavy, so ask about elevator size and load-in windows.

Decor on and around the stage

A bare deck looks like a deck. Hide it with a skirt in black or a color that matches your linens. Add a pipe and drape backdrop, a flower wall or a large sign behind the stage. For gala ideas see stage decor for galas, and read pipe and drape uses for backdrops. Riser chairs: a royal throne pair on a low riser makes a clear head-table focal point.

Mistakes to avoid

  • Choosing the stage height by what looks good, not by the back row.
  • Skipping the ramp until the day of the event.
  • Putting a stage beside a door that is needed for exits.
  • Forgetting power for the band or presenter.

Frequently asked questions

What size stage do I need for a band?

A four-piece band usually needs about 12 x 16 feet. Add space for drums, amps and monitors, and ask the band for a stage plot. Larger groups need more.

How high should a stage be?

24 inches is the most common. Go lower (8 to 16 inches) for small rooms and head tables, and higher (32 to 48 inches) for large ballrooms or fashion shows. The farther the back row, the taller the stage.

What size is a standard stage deck?

4 x 8 feet is the most common rental deck, and 4 x 4 feet is also common. They lock together to form larger stages.

Does a stage need a ramp?

If a guest, speaker or honoree will use it, yes. The ADA standard is a slope of 1:12, so a 24-inch stage needs a 24-foot ramp. Ask your rental company about ramp options.

Do I need a railing on a stage?

Many codes require rails or guardrails above a certain height, often 30 inches. Ask your venue and rental company what applies.

Can I put a stage in a tent or on grass?

Yes, with a level base. Stages in tents need the right flooring or leveling legs. Ask your rental planner to coordinate with the tent company.
