Juneteenth commemorates June 19, 1865, when enslaved people in Galveston, Texas learned of their freedom. It is a federal holiday, and communities across Chicago and the suburbs mark it with parades, festivals, family cookouts and educational events. The City of Chicago lists Juneteenth events on its website, and many neighborhoods host their own. Whether you are planning a family cookout for 30 or a block party for 300, the planning questions are about shade, seating, food and permission.

Match the plan to the type of event

Event Typical size Key rentals Permit check
Family cookout 20 to 60 Tables, chairs, canopy Usually none at home; check HOA
Block party 80 to 300 Tables, tents, stage, trash bins City or village special event rules
Park festival 100 to 1,000 Tents, stage, power, restrooms Park district permit
Church or community center 50 to 200 Chairs, tables, linens Facility rules

If your event is in a park, public street or alley, contact the park district or municipality first. Rules differ by city and village, and you often need a permit, insurance and a specific footprint for tents. See our Chicago park district permit guide and tent permits for the suburbs. Do not assume a permit is not needed. Ask.

Plan around heat and shade

June in Chicago can be hot, humid or stormy. Plan for all three:

Block party layout for 150 guests Top-down plan of a closed street block. A stage at one end, two 20 by 20 foot tents with long tables in the middle, a food and grill zone on the north side, a kids zone at the far end, a trash and recycling station and a clear emergency lane down the center. Stage Tent Tent Food and grills Kids Clear lane
Keep a straight, clear lane for emergency vehicles and put grills away from tents and kids.

Seating, tables and chairs

Plan seats for about half the crowd at any time, since people move between food, music and conversation. For a seated meal, plan one chair per guest. Garden folding chairs ($5 to $7 estimated) are budget friendly for large crowds. Cross-back chairs ($8 to $11) work well for a head table or honored guests. 8-foot tables seat 8 to 10, and 6-foot tables seat 6 to 8. Read chairs on grass, sand and gravel if you set up on turf or gravel.

  2. 2Step 2Estimate attendanceand seats at any one time.
  3. 3Step 3Plan shadefor elders, food and kids.
  4. 4Step 4Place the stage, food and grillswith safe distances.
  5. 5Step 5Add trash, restrooms and water

Stage, sound and program

Block parties often include speakers, performers and a DJ. A simple 8 x 12-foot riser is enough for speakers, and live bands need more. Check power and noise rules. See stage and riser sizes, sound systems for speeches and generator size for events.

Food, trash and restrooms

Cookouts mean grills, coolers and long lines. Keep the cooking zone away from tents and walkways, and plan trash and recycling stations. For 150 guests you will need more than one portable restroom, so see how many portable restrooms per guests and trash and recycling stations.
