Graduation Party Tent Rental: Size, Timing and Layout Tips
Plan a graduation party tent in Chicago and the suburbs: what size, when to book for May and June, buffet layout, shade, seating and a simple checklist.

Graduation parties are different from weddings. Guests come and go, ages range from toddlers to great-grandparents, and the host often has just a few weeks of notice after the final date is set. They are also concentrated: every family in the Chicago area wants the same weekends in late May and early June. A tent makes the party weather-proof, and good planning makes it relaxed.
Open house or seated meal?
The format decides the tent size.
| Format | Guests at once | Space per guest | Tent for 80 invited |
|---|---|---|---|
| Open house, drop-in | About half of the guest list | 7 to 8 sq ft | 20 x 20 to 20 x 30 |
| Buffet with seating | 80 percent seated | 10 to 12 sq ft | 30 x 30 |
| Plated, seated | All at once | 12 sq ft | 30 x 40 |
| Seated with DJ | All at once | 15 sq ft | 30 x 45 to 30 x 60 |

Timing and booking
Graduations cluster in the last weeks of May and the first weeks of June, which also overlaps with wedding season. Call tent companies as soon as the date is set. Permit lead time matters: Chicago triples its fee if the application comes less than 14 days before setup. See Chicago tent permits and suburban tent permits. For chairs, also read when to book chair rentals.

Make it comfortable
May and June in Chicago can bring a cool, rainy day or a hot one. Plan for both:
- Heat: leave sides open, add fans, and put drinks near the entrance. See cooling a tent in summer.
- Rain: have sidewalls available and a plan for the buffet. See rain plan with a tent.
- Kids: keep a clear path from the house, use floors on slopes and keep cords out of walkways.
- Older guests: shade, firm surfaces and chairs with a good seat height.
What to put in the tent
A graduation party tent is usually one big living room. Think about:
- Buffet or food stations on a long wall near the house.
- A drink table apart from the food so lines do not stack up.
- Tables of 8 for family seating, with a few high-top tables for mingling.
- A photo display of the graduate, with a table for cards and gifts.
- A cake or dessert table with a nice backdrop.
- A slideshow on a TV or projector, with power nearby.
Chairs for the party
Guests rotate in and out, so stackable chairs that are easy to move are best. Garden folding chairs are practical and comfortable on grass or patio. For a school-color event, a neutral cross-back chair lets decor do the talking. Count 60 to 70 percent of guests as seated at one time for an open house. See how many chairs you need.
