The chair you love only works if it can get into the room. Downtown hotels, lofts, museums and high-rise venues all have rules, and suburban halls and barns have their own. Here's what to ask.

Checklist of five venue rules to ask about: insurance, access, timing, floors and strike
Five things to confirm with your venue coordinator.

1. Insurance: the certificate of insurance (COI)

Many venues won't let a vendor unload without a COI on file. It usually needs to:

  • Name the venue (and sometimes its management company) as additional insured
  • Show minimum coverage amounts set by the venue
  • Arrive a set number of days before the event

Get the exact wording from your venue and pass it to your rental company early. It's the most common last-week scramble.

2. Access: dock, elevator and parking

For city venues especially, ask:

  • Is there a loading dock, and does it need to be reserved?
  • Is there a freight elevator, its size, and when can vendors use it?
  • Where can a box truck park, and for how long?
  • How far is it from the truck to the room, and are there stairs?

Long carries and stairs add time and often cost, so your rental company needs this to quote accurately.

3. Timing: load-in and load-out windows

Venues with several events a day often give vendors tight windows. Know:

  • The earliest delivery time
  • Whether chairs can be dropped the day before
  • The latest pickup time, and whether late-night pickup costs extra

4. Floors and grounds

Ballrooms, historic buildings and gardens may require floor runners, felt pads or carts with soft wheels. Outdoor venues may limit where trucks can drive on lawns.

5. Strike: when everything must be gone

Some venues let rentals stay overnight. Others want every chair stacked and gone at a set time. That deadline affects your rental company's staffing and your final bill.

Questions to copy into your venue email

  1. Can you send your vendor packet and COI requirements?
  2. What are the load-in and load-out windows on our date?
  3. Is the loading dock or freight elevator reserved per vendor?
  4. Can rentals be delivered the day before or picked up the day after?
  5. Are there floor protection rules?

Frequently asked questions

What is a COI for an event rental?

A certificate of insurance shows the rental company's liability coverage and usually names the venue as additional insured. Many Chicago venues require one before a vendor can unload.

Can chairs be delivered to a high-rise venue?

Usually, yes. The rental company needs the freight elevator size and reservation time, loading dock rules, and the distance from the truck to the room.

Who handles venue paperwork for rentals?

Your rental company provides the COI and schedules delivery, but you or your planner usually connect them with the venue and confirm timing.
