Tent Rental Timeline: When to Book, Permit and Set Up
A countdown for renting a tent in Chicago, from booking and permits to utility locates, setup day and takedown, with realistic lead times.

Tent rentals run on a backward calendar. The event date is fixed, and everything else, from the permit to the crew's arrival, counts down from it. Missing one step means a smaller tent, a rush fee or no tent at all. This is a timeline you can paste into your phone.
The countdown
Step by step
3 to 6 months out: book
Tent companies sell out on peak weekends. In the Chicago area those are June, September and early October Saturdays. Book once your date and site are set, and ask about permit handling, flooring and sidewalls in the same call. See when to book event rentals. Lock the size early with what size tent do I need.
6 to 8 weeks out: check the site and permit
Ask your village what it needs. In the examples we reviewed, Winnetka's form asks for 7 days notice, Oak Park requires electronic application with setup and teardown dates, and Chicago triples fees under 14 days. Start sooner than the minimum. See Chicago tent permits and suburban permits. Also check HOA rules: HOA and neighbors.
2 to 4 weeks out: utility locate and details
Illinois law asks you to contact JULIE. According to 811beforeyoudig.com, notice is two working days (excluding weekends) and no more than 10 calendar days before digging. Tickets last 25 days. Ask your tent company whether they request the locate. Details in the JULIE guide. Confirm flooring, lighting, heating or cooling, and sidewalls.
1 week out: confirm
Reconfirm the delivery window, gate access, parking for the truck and who will be on site to meet the crew. Mark sprinklers and fragile spots. Book tables and chairs for the same delivery day; see our blog for delivery planning.
1 to 2 days before: setup
Crews typically install the tent a day or two before to allow time for the floor, sidewalls, lighting and inspections. Larger tents and floors can take more days. If you need an inspection, schedule it before guests arrive.
Event day
The tent should be done. Do a final walk: anchors, exits, power, lighting, heater and cords. Have the crew's phone number handy.
Day after: takedown
Most companies remove the tent the day after, but some do it the same night for small tents. Ask in advance. If you rent the tent over a weekend, the pickup is often Monday.
