Libertyville in Lake County has a charming downtown on Milwaukee Avenue, several village parks and access to large nature areas such as Independence Grove, a Lake County Forest Preserves site. Many families here host reunions, retirement parties, birthdays and graduation picnics in a shelter instead of a hall. That keeps costs down, but it changes the planning: you work with what the site already has. This guide shows how.

Start with the shelter

Public shelters vary widely. Some have fixed picnic tables, some have grills and power, and some have none of those. Call the managing agency and ask:

  1. How many people does the shelter hold?
  2. Which tables, chairs and grills are provided?
  3. Are tents, canopies or bounce houses allowed?
  4. Can I bring in tables and chairs, and from what time?
  5. Are alcohol, music and decorations restricted?
  6. What happens if it rains, and is there a refund or rain date?

For forest preserve sites, check the Lake County Forest Preserves for permits. For village parks, check with the Village of Libertyville or the Libertyville park district for the property you want. Do not guess; get answers in writing.

Shelter layout for a 60-guest picnic with rented tables A top-down picnic shelter with six fixed picnic tables under the roof, a rented food line of two 8-foot tables along one edge, a drink table near the entrance and a rented lounge group of chairs on the lawn outside. Shelter roof Food Drinks Lawn lounge
Fixed tables stay under the roof; rented food tables and a lawn lounge add capacity without crowding the shelter.

Six fixed 8-foot picnic tables seat about 36 to 48. Add a lounge on the lawn with a dozen chairs and you can host 60 comfortably. Our guide to outdoor lounge rentals explains lounge sets.

What to rent and what to skip

Item Rent it? Why
Food tables (8 ft) Yes Fixed tables are not great for buffets
Extra chairs Yes Picnic benches fit fewer people than a chair set
Cocktail tables Maybe Helpful for mingling on the lawn
Floor-length linens Rarely Wind and grass make them awkward
Shade canopy Check rules Some shelters limit canopies

The garden folding chair at about $5 to $7 suits picnics. For a relaxed look, the rattan garden chair at about $12 to $16 makes a small lounge feel special. See the banquet table size guide for food tables.

Food safety and flow

Picnics succeed when food stays safe and lines move. Put hot foods on one table and cold on another, with serving utensils for each dish. Keep drinks away from food so lines do not cross. Place a trash and recycling station near the exit. Use shade for cold items, and keep them off the grass. A single 8-foot table holds about 8 to 10 serving dishes, so a 60-guest picnic with a main, 4 sides and desserts needs two food tables.

Weather in northern Illinois

Lake County weather can swing quickly. Summer afternoons can be hot and humid, with thunderstorms. Spring and fall can be cool and windy. Check the forecast a week out and again the day before. If your shelter has a roof, rain may be fine; if not, a rain date or tent is needed. Keep light jackets and fans on hand. Illinois weather often shifts within a day, so bring a backup plan.

Backyard version

Libertyville has many neighborhoods with large yards. If you prefer a backyard, follow the zone plan in our Northbrook guide. Check with the village about tent permits, and with your neighbors about noise. Call JULIE before any stakes go into the ground.

Delivery

We deliver from St. Charles, with deliveries starting in April 2027. For a shelter, check the delivery access: can a truck reach the site, or must items be carried from a lot? Ask the managing agency about vehicle rules. Delivery fees depend on distance and access, so send the location with your quote request.

Safety and cleanup at public sites

When you borrow public space, leave it better than you found it. Plan trash and recycling bags for every table and a crew to sweep for litter after guests leave. Stack chairs and tables where the rental company can load them quickly, and stay on site until pickup if your agreement requires it. Keep walkways clear for emergency vehicles, and know the location of the nearest restroom and first aid kit.

Safety also means lighting, shade and water. If your Chicago-area picnic runs into evening, bring battery lanterns for the walk to the car. In summer heat, offer cold water and shaded seats for older guests and young children. Keep grills away from tents and shelters, and follow any fire rules the site posts. A short checklist on a clipboard, shared with two helpers, covers most of this.

Frequently asked questions

Can I rent chairs for a forest preserve picnic?

Yes, if the preserve allows outside furniture. Ask the managing agency about rules, and confirm vehicle access for delivery.

How many tables does a 60-person picnic need?

Fixed picnic tables may cover seating. Rent two or three extra 8-foot tables for food and drinks.

Do I need a permit for a picnic shelter?

Usually you need a reservation, and sometimes a permit. Contact the Lake County Forest Preserves or the village for the site you choose.

What if it rains?

Pick a shelter with a roof or reserve a rain date. For backyards, a tent is a backup.

What chair is best for a picnic?

A lightweight folding chair, such as the teak garden folding chair, is the easiest and lowest in cost.

How early can rentals arrive?

That depends on the site's rules. Ask about access times when you reserve.
