Kids Party Rentals Checklist: Tables, Seating, Shade, Fun
A complete rental checklist for a kids birthday party or family event, with child-size seating, party tables, shade, bounce space and a layout for 20 to 60 kids.

A kids party looks chaotic from the outside, but a good one runs on a quiet plan. Children eat in short bursts, move constantly and need a place to sit that fits their size, while the adults who came with them need a comfortable place to stand back and watch. This checklist covers the rentals that make a party for 20 to 60 children work, whether it is in a backyard in Naperville, a park shelter in Evanston or a banquet room anywhere in the Chicago area.
Zone 1: Eating and seating
The eating zone is the heart of the party. Children need furniture sized for them, and an adult or two at each table to help.
- Child tables. Rectangular or round tables around 20 to 24 inches tall are common for young children. See kids tables and chairs for events.
- Child chairs. Seat height of roughly 10 to 12 inches suits toddlers and preschoolers; ask your rental company for the exact sizes.
- Adult chairs. One for every adult, plus extras for grandparents. A few garden folding chairs are an easy, light option.
- High chairs. For babies and young toddlers. Read about high chairs and baby stations.
- Linens. Paper or washable table covers; plan on spills.
A good rule of thumb is one child seat per child at the eating tables, with up to 6 children per table so an adult can reach everyone.
Zone 2: Activity
| Activity | Typical space | Good age range | Needs |
|---|---|---|---|
| Bounce house | About 20 x 20 ft with clearance | Ages 3 to 10, size-matched | Power, anchoring, attendant |
| Lawn games | 10 x 10 ft and up | Ages 4 and up | Flat ground |
| Craft table | 1 or 2 tables | Ages 3 to 9 | Shade, cleanup supplies |
| Face painting | Table and 2 chairs | Ages 3 and up | Shade, hand-washing |
| Carnival games | 8 to 10 ft per station | Ages 4 to 10 | See carnival games guide |
| Quiet corner | Rug and cushions | Under 4 | Close to adults |
Spread activities out so the most energetic area is away from the eating tables and the quiet corner. For inflatables, read bounce house rental safety and space. For game stations, see carnival games for parties.
Zone 3: Cake, gifts and favors
Plan one table for the cake and one for gifts and cards, plus a small station for favors on the way out. A cake table is often a 6-foot rectangular or a 48-inch round; check the exact fit for your cake and decor. See card box and gift table ideas for a layout.
Zone 4: Parent comfort
Parents who can sit in the shade relax, and relaxed parents make a smoother party. Provide a lounge corner with chairs and a table for coffee or drinks. A market umbrella or tent helps in summer sun. For long parties, a few lounge pieces keep adults near the action.
Zone 5: Restrooms and cleanup
Short trips to the bathroom happen often with children. If the party is at a park or field, check the facilities. If it is at home, plan the route, a hand-washing station and a spot for coats and bags. For larger gatherings, see how many portable restrooms per guests.

The weather plan
Chicago spring and fall parties are often cooler than guests expect, and summer ones can be hot. Keep a covered area ready, whether a tent, pavilion or garage. A tent lets you keep the cake out of the sun and tables dry. For heat and sun, see misting and shade for summer events.
