How to Flip a Ceremony Room to a Reception: A Step Plan
A step-by-step plan for flipping a wedding ceremony space into a reception during cocktail hour, with crew counts, timing, chair moves and a floor-plan example.

Flips save money and space: one room, one set of chairs, one setup. They also create the most stressful 45 minutes of the wedding day if nobody is in charge. This guide gives you a plan that works in a Chicago ballroom, a suburban banquet hall or a tent.
When a flip makes sense
A flip works when the ceremony and reception share a room, a lawn or a tent, and the cocktail hour is in a different space. It doesn't work when the cocktail hour is in the same room, or when the cocktail hour is under 45 minutes. If the room has no second space, consider a separate ceremony location. See ceremony vs reception chairs.
The sequence
- 1Step 1Vows endushers send guests to cocktail hour by the shortest path, away from the room.
- 2Step 2Minute 0 to 10remove the arch, aisle runner and florals; stack chairs on carts.
- 3Step 3Minute 10 to 30roll in tables from staging, then lay linens and chairs.
- 4Step 4Minute 30 to 50place place settings, glassware and centerpieces.
- 5Step 5Minute 50 to 60final walk-through, lights, candles, sound check.
Aim for the room to be ready 10 minutes before guests arrive from cocktail hour.
Staff and equipment
A good rule of thumb is 1 crew member per 15 to 20 guests, with at least 4 people for a flip of 100 guests. Add carts for chairs, dollies for tables, and bins for linens and dinnerware. If the venue staff handles it, ask how many people are assigned and what they have done before. If your rental company sends the crew, confirm that the flip is in the contract, with hours and cost. Ask what happens if the ceremony runs late.
| Guests | Crew (rule of thumb) | Carts | Time budget |
|---|---|---|---|
| 50 | 3 to 4 | 2 | 40 to 50 min |
| 100 | 5 to 7 | 3 to 4 | 50 to 65 min |
| 150 | 8 to 10 | 5 to 6 | 60 to 75 min |
| 200 | 10 to 13 | 6 to 8 | 70 to 90 min |
These are planning estimates; your venue and crew set the real numbers.
Pre-stage everything
The flip moves fast only if everything is nearby and labeled. Before the ceremony, stage:
- Tables with cloths already on (round tables can be folded and rolled).
- Table numbers and centerpieces on a cart.
- Boxes of dinnerware, flatware and glassware sorted by table.
- Chairs for dinner in a second stack, so ceremony chairs can move out of the room.
Give the crew a labeled floor plan with table numbers. In some venues, the staging area is a back hallway; in tents, it can be a side tent or a covered truck bay.
Which chairs flip well
The chair that works for both the ceremony and dinner is the one that is comfortable for 3 to 4 hours, stackable or easy to carry and doesn't need cleaning between uses. Garden folding chairs are the lightest to move. Cross-back chairs look right in both settings. Heavier upholstered chairs are harder to flip fast. If you want a statement chair at the reception, rent a separate set and ask the crew to set it on dinner tables while the ceremony chairs stay behind for pickup.
What can go wrong
- A late ceremony. Add a buffer. Brief the DJ so cocktail hour music can extend.
- Not enough hands. Add crew, not time.
- Wrong table counts. Label every table.
- Mess on the floor. Keep a vacuum or broom handy.
- Photos in the room. Tell the photographer the room is closed until the flip is done.
Chicago and tent specifics
A tent flip needs the cocktail hour to be outside the tent, with enough shelter for rain. In a downtown ballroom, check the freight elevator schedule and union rules for who can move furniture. In a suburban hall, ask the banquet captain for the hall's flip routine. Do not plan a ceremony flip in a room that must be cleared by a strict deadline.
