Planning an Event in West Chicago: Rentals, Permits, Parks & Venues
Planning an event in West Chicago, IL: West Chicago Park District, Reed-Keppler Park, the city, downtown and rental and delivery tips from St. Charles.

West Chicago is a DuPage County city with a railroad heritage, a growing downtown and a big, diverse community that celebrates in a lot of ways: quinceañeras, weddings, church events and festivals. It is also one of the closest DuPage towns to our St. Charles base.
The park district and the city
The West Chicago Park District runs the city's parks, including Reed-Keppler Park, a large park with fields and facilities. The City of West Chicago handles streets, sidewalks and public property, and publishes information on its website. If you plan a downtown event, the city is the office to call. If you want a shelter or field, call the district.
The city is not the same as Chicago, and the name causes confusion. West Chicago is about 30 miles west of the Loop, in DuPage County.

Large family celebrations
West Chicago hosts many events that run big: 150 to 250 guests, with long meals, music and dancing. Plan the room around the dance floor and the buffet line, then place tables around them. A 200-guest event typically needs about 25 rounds of 8, a head table or a court table, and a clear path to restrooms and exits. See dance floor size by guest count and buffet line flow.
Delivery from St. Charles
West Chicago is only a short drive south on local roads, so same-weekend add-ons are realistic. We still ask for the loading location and a contact, and we plan for tight lots at community halls.

Seasonal notes
Summer is the busy season for parks, with many events on weekends. Spring graduations and church events fill May and June. Fall is calm. Winter events happen in halls, and the days are short, with sunset about 4:20 pm in mid-December.
A West Chicago example
For a 200-guest celebration in a hall, plan 25 rounds of 8, a dance floor and a head table. Royal throne chairs (about $75-150 per pair, an estimate) add a focal point, while ghost chairs (about $10-14 each) keep the room light.
Coordinating with vendors
Large celebrations involve a DJ or band, a caterer, a baker and a photographer. Share your floor plan with each, because they need power, space and timing. Ask the hall which vendors are allowed and when each can arrive. A one-page schedule with load-in times prevents conflicts. If you are traveling from Chicago for the event, confirm the hall's address and parking before the day.
What a good floor plan looks like
Large celebrations need a floor plan before anything else. Draw the room, then place the big pieces in this order.
- Dance floor near the DJ or band, with space around it.
- Head table or court table where guests can see it from most seats.
- Buffet or serving stations away from the dance floor, with room for two lines.
- Guest tables filling the rest, with at least 5 feet between chair backs.
- Gift, cake and guest book tables near the entrance.
Leave clear aisles to exits and restrooms, because crowds form there. If the hall provides a floor plan, mark it up and send it to your rental team. A good plan saves hours on setup day. Whether you plan in West Chicago or somewhere else in the Chicago area, the same order works.
